Executive Assistant provides multi-faceted administrative support and assistance to ensure effective use of an executive's time and productive interactions with staff and the public. Handles a wide range of administrative and support tasks and independently initiates and implements processes to manage projects, information, and people. Being an Executive Assistant manages the executive's schedule, meeting preparations, follow-up tasks, and complex travel arrangements. Conducts research and information gathering on behalf of the executive and prepares summaries and reports. Additionally, Executive Assistant develops positive and strategic relationships at all levels of the organization. Uses discretion, judgment, and knowledge of the organization to facilitate the executive's activities and maintain confidentiality. May be responsible for directing and deploying support staff or other resources. Typically requires a bachelor's degree. Typically reports to c-suite executive. The Executive Assistant work is generally independent and collaborative in nature. Contributes to moderately complex aspects of a project.   • To support the Senior Vice President and Assistant Development Director in more complex and time-consuming tasks, such as organizing data, to ensure the department runs smoothly and important details are not missed.

    Responsibilities and Duties include but are not limited to:

    1. Work closely with Senior Vice President and Assistant Development Director to establish policies, programs, and budgets for the maintenance of current projects and the development of new projects.

    2. Maintain a list and file/binder with various original documents and certificates.

    3. Maintain communication with various State and Federal agencies.

    4. Assist in the initial and final closing process of projects. This includes acquiring the correct number of signatures from necessary parties, review and bind documentation if necessary. Keep in communication with attorneys and schedule meetings.

    5. Process and maintain a list of invoices, company credit card account, expense reports and check requests. Ensure that regularly scheduled payments are made on time.

    6. Maintain the department files. Recognize the importance of a document by scanning it into a shared file before filing a hard copy away. All original contracts are kept in the Senior Vice President’s files. An overhaul of the filing system is needed as old files need to be sorted and packed up and new files need to be created and expanded on to ensure a stronger source of reference for the Senior Vice President and his team. A strong sense of organization is needed to complete this task.

    7. Implementing a SharePoint filing system and migrating existing electronic files to the new system.

    8. Must have an intermediate level understanding and experience with Word and Excel

    9. Process correspondence via letter or email. Take the initiative to answer any questions or problems that are posed. Organize and prepare for meetings; coordinate multi-party conference calls.

    10. Coordinate mortgage and refinancing applications and submissions.

    11. Maintain and update bi-weekly department meetings agenda, coordinate meetings on department calendars as needed.

    12. Other duties and projects as required and assigned including property operations and potential refinancing and restructuring of existing and new properties.

    SKILLS & EXPERIENCE

    1. Microsoft Office and Office 365 skills –Proficient in Word, PowerPoint, and Excel; able to create, edit, and maintain Excel spreadsheets. Adobe, Outlook, OneNote, OneDrive, and SharePoint experience a plus

    2. Typing – 65 WPM

    3. 2-3 years administrative experience preferred

    4. Excellent time management and organization skills, acute attention to detail, and ability to prioritize tasks

    Job Type: Full-time

    Pay: $25.00 - $30.00 per hour

    Expected hours: 40 per week
