Executive Assistant to the President- Maternity Leave Replacement

The school offers a coed program for young children at the Barat Center for Early Childhood Education and then an all-girls experience from K-12 on our 110-acre campus in Greenwich, Connecticut. We are proudly part of the Network of Sacred Heart Schools.
We are currently seeking a maternity leave replacement for our Executive Assistant to the President from approximately April 1, 2024 until September 6, 2024. The leave replacement will train with the Executive Assistant for 2-3 weeks prior to her leave.

Job Summary:
The Executive Assistant to the President is an integral part of the President’s office who supports the President’s leadership role and provides a full range of administrative and operational tasks to maintain an effective and well-organized office. The Executive Assistant is accessible, approachable, and welcoming, managing confidential situations with discretion, respect, and sensitivity. The Executive Assistant embodies and communicates the school’s mission and core values ensuring that the President and Sacred Heart Greenwich are represented in a professional, hospitable, and responsive manner.
Essential Functions:
- Manages and supports the President’s daily operations of the school, short and long-term goals, and institutional projects;
- Provide administrative support to the President, including but not limited to calendar management, event planning and coordination, record keeping, and project management;
- Maintains the daily schedule for the President and coordinates meetings, conferences, and travel arrangements;
- Reconcile the President’s school’s credit card use and approve invoices;
- Prepares and distributes the agenda for the weekly leadership team meetings;
- Manage all administrative activities in support of the Board of Trustees, including but not limited to: managing the online Board portal, preparing meeting schedules, organizing and coordinating meeting logistics such as facilities and catering, document and presentation preparation, attending meetings and taking minutes, providing appropriate follow up after meetings, and scheduling other committee meetings as needed.
- Maintains strict confidentiality, uses good judgment and acts with sensitivity in regards to school matters;
- Manage and maintain the School’s master calendar and all other school calendar platforms;
- In collaboration with the Human Resources Manager and recruiting agencies, be the point of contact, coordinate and schedule interviews for leadership role positions;
- In collaboration with the Upper School administrators, coordinate and oversee the planning and execution of of Commencement including, diplomas, Commencement script and logistics for the Commencement Speaker;
- Coordinates facilities event requests with the Facilities team, and others;
- Coordinates hospitality and meals for various Board and school functions;
- Coordinate and plan the annual Leadership Team Retreat;
- Oversee and manage annual reporting and professional memberships for the school;
- Prepares emails, memos and correspondence to all constituents as requested on behalf of the President;
- Works closely with the Director of Dining Services to plan and coordinate special events for Faculty and Staff;
- Takes the initiative and uses technology to promote the office of the President proactively;
- Represents the President’s best interests and perspective in interactions and meetings with faculty, staff, parents, students, visitors, and assists by advancing discussions and issues, paving the way for appropriate action by the President;
- Takes an active part in the life of the school by attending events, contributing to their success, and taking a genuine interest in the teaching and learning that occurs; and
- Perform other duties as assigned by the President.
Qualifications:
- Bachelor’s Degree or equivalent knowledge and experience and 5 years of experience performing similar responsibilities, preferably in a fast-paced school environment.
- Excellent work ethic and calm demeanor.
- Well-developed interpersonal, organizational, communication and presentation skills required.
- Must work efficiently and effectively - detail-oriented with excellent writing and editing skills.
- Proficiency with technology including Google suite, MS Office suite - Word, Excel, PowerPoint, etc.
