Executive Assistant provides multi-faceted administrative support and assistance to ensure effective use of an executive's time and productive interactions with staff and the public. Handles a wide range of administrative and support tasks and independently initiates and implements processes to manage projects, information, and people. Being an Executive Assistant manages the executive's schedule, meeting preparations, follow-up tasks, and complex travel arrangements. Conducts research and information gathering on behalf of the executive and prepares summaries and reports. Additionally, Executive Assistant develops positive and strategic relationships at all levels of the organization. Uses discretion, judgment, and knowledge of the organization to facilitate the executive's activities and maintain confidentiality. May be responsible for directing and deploying support staff or other resources. Typically requires a bachelor's degree. Typically reports to c-suite executive. The Executive Assistant work is generally independent and collaborative in nature. Contributes to moderately complex aspects of a project. Job Purpose: The Executive Assistant for HealthCore Clinic (HCC) reports to the Chief Marketing/Communications Officer. This position is responsible for providing administrative support for Executive Leadership Team members including direct support to CEO.

Additional Essential Functions:
1. Processes incoming and outgoing mail; copies, scans and faxes documents; and performs other general clerical duties.
2. Draft, edit, and prepare reports, presentations and correspondence.
3. Maintains master schedule for meeting rooms within the clinic.
4. Gathers and organizes receipts to reconcile team member credit card statements.
5. Updates HCC’s organizational phone list as needed.
6. Assists Human Resources with administrative projects such as new hire processes, tours, scheduling interviews, creating new employee badges, etc. while maintaining absolute confidentiality.
7. Supporting, planning and attending events that may require working some weekends.
8. Other duties as assigned.
Qualifications and Requirements: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. 1. Minimum of five (5) years of related office management or administrative experience required.
2. Bachelors Degree or Associates Degree from a two-year college, preferred.

4. Strong computer literacy, especially with Microsoft Office Suite products.
5. Strong office skills including accurate typing, data entry, and filing.
6. Ability to compose and generate documents and reports in an accurate and timely manner.
7. Ability to work productively with internal and external customers.
8. Ability to keep supervisor informed about progress and problems.
9. Excellent written and verbal communication skills; organizational skills; and time management skills.
10. Remain flexible to withstand unpredictable changes to workflow and schedules.
11. Ability to maintain absolute confidentiality in regards to HCC matters.
