Brief Summary of Work for this Position
The Executive Assistant/Office Manager supports the Associate Vice Chancellor for Business Services, and direct reports with instruction and support for the following:
- Key system processes
- Business services coordination
- File management of the largest contracts at the institution
- Teambuilding for a permanent staff of 62 plus
- Contract management
- Communications with contractors, business partners and other departments across university, including deans’ offices, senates and other governing bodies
This position will also cover duties as the Office Manager for all units under Business Services including but not limited to time sheet approval, key management, uShop and Chrome River duties, P-Card reconciliation, People Admin, EPAF, website updates, as well as the liaison for fixed assets and Human Resources.
Minimum Education and Experience Requirements
High school diploma or equivalency and three years of progressively responsible administrative/office management experience; or Associate’s degree in secretarial science, business administration, or a related discipline and one year of progressively responsible administrative/office management experience ; or Bachelor’s degree, preferably in business administration or a related discipline; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
Preferred education, professional skills and experience
- Experience supporting senior administration or similar positions
- Experience communicating with university administrators, faculty, staff, state agencies, and general public
- Outstanding interpersonal skills
- Experience with Banner or a similar program
- Working knowledge of the university business environment and business acumen
- Notary certification preferred, but can be obtained after hire
