Expatriate Administration Manager manages the human resources aspects of international employee placements. Develops and implements policies and procedures for placing expatriates. Being an Expatriate Administration Manager oversees visa procurement, tax equalization and coordination of housing, benefits, and compensation packages. Additionally, Expatriate Administration Manager acts as advisor to expatriate administration team regarding projects, tasks, and operations. Requires a bachelor's degree. Typically reports to head of a unit/department. The Expatriate Administration Manager manages subordinate staff in the day-to-day performance of their jobs. True first level manager.   • Position Summary: This position will provide the administrative support necessary to accomplish property and development goals to grow WestCare’s ability to reach people and communities in need. Essential Job Functions include those listed below. Other duties may be assigned as needed.

    Essential Job Functions:
    • Support the organization’s efforts to implement WestCare’s values, mission, and strategic goals.
    • General administrative/clerical support for various departments.
    • Review and analyze files to determine confidential categories. Organize and maintain files in a manner that maintains confidentiality.
    • Coordinate scheduling for meetings and events with internal and external participants.
    • Handle confidential information according to strict ethical standards.
    • Collect and maintain all property contracts upon execution and support an updated contract database and tracking system.
    • Track all property leases and communicate with other departments as contracts expire, renew, or closeout.
    • Assist the President to review and troubleshoot contract-related issues, including breach notices and early terminations.
    • Respond to requests from internal departments for contract tracking and copies of executed agreements.
    • Complete projects and special assignments in a timely manner.
    • Compose and prepare routine correspondence.
    • Maintain an orderly work environment.
    • Ensure that the lease and deed database is updated and maintained.
    • Assists other WestCare Staff as needed in a collaborative manner to promote cooperation and portray a professional image in the community.
    • Gather information, data, and related documents as requested to support organization initiatives.
    • Embrace and embody the mission, vision, guiding principles, clinical vision and goals of WestCare Foundation.
    • All other duties as assigned.
    Essential Qualifications:
    • 5 years of proven administrative services experience, preferably in a legal or real estate.
    • Effective communication skills both written and verbal.
    • 2 years of proven experience reviewing, drafting, proofing contracts.
    • Superior organizational skills.
    • Precise and attention to detail.
    • Works in and supports a team-oriented environment that promotes accountability, collaboration, dependability, diversity, equity, fairness, inclusion, information-sharing, integrity, open-mindedness, and tolerance.
    • Strong computer skills, to encompass all Microsoft Office applications.
    • Adherence to the highest standard of ethical conduct, especially to standards governing confidentiality.
    • Ability to exercise good judgment and discretion.
    • High level of professionalism.
    Education:
    • High School diploma or equivalent.
    • Associate or Bachelors Degree focusing on executive assistant duties preferred.
    • Equivalent experience accepted.
    Working Conditions:
    • Professional, business office setting.
    • Regular attendance is required.
    Essential Physical and Mental Demands of the Job
    The employee must be able to perform the following essential duties and activities with or without accommodation:
    Physical Demands:
    • Requires mobility and physical activity: Having an adequate range of body motion and mobility, to work in the office environment including standing and walking (even and uneven surfaces) to interact with co-workers in the office environment, sitting for extended periods of time, bending, twisting, reaching, balancing, occasional lifting and carrying of up to 30 pounds. Constant use of computer and telephone systems is required which includes coordination of eye and hand, and fine manipulation by the hands (typing, writing, and working with files). Requires the ability to operate a motor vehicle.
    • Requires talking: Expressing or exchanging ideas by means of the spoken word. Talking is required to impart oral information to employees, and the public, and in those activities in which the employee is required to convey detailed or important spoken instructions to others accurately, loudly, or quickly.
    • Requires hearing: Hearing is required to receive and communicate detailed information through oral communication.
    • Requires seeing: Clarity of vision at 20 inches or less and at a distance. This factor is required to complete paperwork for essential job functions.
    • The normal work routine involves no exposure to human blood, body fluids or tissues. Job duties do not include performing or assisting in emergency medical care or first aid.

    • Requires the ability to collect and analyze complex numerical and written data and verbal information to reach logical conclusions.
    • Requires the ability to work and cooperate with co-workers, managers, the public, and employees at all levels in order to exchange ideas, information, instructions, and opinions.
