    Position Summary

    The Division Administrative Assistant will be confident and comfortable owning two distinct but connected areas of responsibility: administrative and project management. Being genuinely motivated to provide superb support to the Division VP and respective divisions to effectively work as a team member and trusted mentor are two key goals in this assignment.

    Responsibilities

    In the administrative capacity, he/she will ensure that the Division VP and his/her leadership team are engaged on the appropriate priorities on a day-to-day basis.

    • Coordinate extensive scheduling and key contact synchronization on both business and personal fronts and responsibility for inbound and outbound communications including expense reports, composing/preparing correspondence (sometimes confidential), managing email, phone, and hard copy mail.
    • Strategically approach detailed meeting and travel plans, itineraries, agendas, and compiling documents.
    • Serve as the central point of contact for the planning and coordination of the Division Leadership team’s activities this teammate will create win-win situations for direct access to leadership time, including preparation of relevant meeting documents and briefing material.
    • Be comfortable moving at a rapid pace alongside entrepreneurial leaders while maintaining a laser-focus on the best use of time.
    • Proactively ensures that the leaders are engaged in appropriate internal dialogues, and that they are regularly briefed on BSRO activities across the organization including on-campus VIP visits, product launch activities, internal meetings that may have particular relevance, and BSRO-sponsored events.
    • Manage confidentially without exception; earn credibility by demonstrating the ability to achieve results, and exhibit strong operational skills.

    On a project management front, the Division Administrative Assistant will operate as a liaison to a variety of strategic and operational initiatives, internal and external deliverables, and special projects, working with the Division VP’s leadership team and key constituents across the organization.

    • Support the Division VP by ensuring critical activities, initiatives, and day-to-day operations of the VP are fully aligned and advancing as necessary, often with deadline pressures.
    • Act as a “barometer” by having a sense for the issues taking place in the environment and keeping the VP updated.
    • Provide a bridge for smooth communication on behalf of the VP in selected interactions with team members, executive leaders, government representatives and the community; demonstrating leadership to maintain credibility, trust and support with all parties.
    • Ability to transform general direction into action.
    • Effectively manage multiple deliverables in the face of some level of ambiguity from executive leaders and teammates.
    • Promote cross-functional collaboration by working effectively within all levels of the organization, from executives to individual contributors.

    Management Accountabilities

    • Consistently practices positive leadership to create an environment that encourages open communication, diversity of thought, and respect for the individual.
    • Provides coaching to the Office Managers as needed and regularly evaluates performance against objectives.
    • Monitor, track, and drive accountability for key administrative goals for respective divisions.

    Required Qualifications

    • Minimum of 5-7 years’ experience in an executive leader support function
    • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms

    Preferred Qualifications

    • Bachelors or Associates Degree
    • Management experience preferred
    • Ability to be extremely effective independently
