Typically reports to a manager. The Expatriate Administration Supervisor supervises a group of primarily para-professional level staffs. May also be a level above a supervisor within high volume administrative/ production environments. Makes day-to-day decisions within or for a group/small department. Has some authority for personnel actions. To be an Expatriate Administration Supervisor typically requires 3-5 years experience in the related area as an individual contributor.     To supervise daily administrative, finance and clinical business operations while maintaining a well-structured business strategy.  Monitor expenses in a timely manner, suggest cost-effective solutions and handle multiple department business related issues.  To prepare and assist in the preparation of financial reports, budgeting and analysis.   

    Essential Functions:

    Business Operations:

    • Oversee the Healthcare Finance Coordinators to ensure all department payments are reviewed, accurate coding is applied, and recording to appropriate medical claims is captured and processed within contracted term dates.
    • Oversee department purchases and sales orders.
    • Approve department invoices for medical services, suppliers, equipment purchases and equipment maintenance, while monitoring for accuracy.
    • Lead the Healthcare Finance Coordinators to provide day-to-day guidance on GL coding; resolution of discrepancies.
    • Implement and/ establish strategic plans and objectives based on department business operations.
    • Monitor the consistent operation of all daily accounts payable related functions resulting in a timely and accurate month end close.
    • Analyse cost and pricing in order to identify additional discount opportunities. 
    • Collaborate with Case Management team in the review of high dollar invoices and assist with any other business-related inquiry.
    • Work closely with company finance and accounts payable department to acquire needed financial reports and obtain assistance with systems issues and/or payment delays

    Financial Planning and Reports:

    • Assist the Director of Healthcare Administration & Finance and Manager, Healthcare Administration & Finance in preparing and reviewing analytical data and systems.
    • Support the department with the preparation of financial, operational and management reports.
    • Gather monthly expense in the areas of medical services, equipment purchases and equipment maintenance, ensuring all areas are kept within budget.
    • Engages in revenue enhancement initiatives, maintain charge reconciliation & revenue capture processes.
    • Provide crucial insight into business operations through analyses of department operations, review of performance benchmarking, and assisting in business forecasting
    • Staffing:
    • Manage staff by effectively developing, mentoring and assessing their performance.
    • Provide initial and ongoing training of new hires.
    • Effectively communicate business expectations to all team members.

    Vendor Relations:

    • Assist with vendor inquiries in terms of escalated issues for missing payments and invoice discrepancies.
    • Maintain effective working relationship with external partners and suppliers.
    • Responsible for documenting/addressing employee unsatisfactory production performance and/or discipline issues as needed to correct unsatisfactory behaviour within company’s established guidelines.

    General administration:

    • To complete all ad hoc projects as per Management assignments.
    • Assist with internal department audits.
    • To consistently remain attentive and responsive to important business-related matters, even if the related issues don’t have a direct affect.
