    Job Classification: Regular Full-Time, Exempt

    Job Relationships: Reports to the Director of Operations. Manages Facilities and Maintenance and
    Custodial staff and IT services for multi-site organization.


    The Facilities and Maintenance Manager strategically leads the facilities and maintenance teams by ensuring proper
    operation and/or maintenance of the Organization’s buildings, equipment, systems and grounds. Oversees janitorial,
    electrical, HVAC, landscaping, physical building security and property management. Responsible for the oversight of
    information technology (IT) vendor and facility needs. The position is responsible for understanding all functions and tasks
    within position scope. The position schedule generally Monday through Friday. Evening, weekend, holiday and emergency
    response requirements as needed.


    Essential Duties/Responsibilities
    • Manages and supervises Facilities and Maintenance Supervisor(s), Maintenance Coordinator(s), and Custodian(s)
    • Manages IT vendor; ensures that organization stays up with current technology and cybersecurity
    • Identifies and ensures appropriate training and growth opportunities for team members
    • Serves as primary escalation point for Supervisors and Coordinators within department
    • Ensures adequate staffing for multi-location department; participates in all employment issues including hiring,
    performance reviews, disciplinary actions, recognition, engagement, payroll approval and more
    • Ensures that Facility and Maintenance Supervisors effectively manage department volunteer programs
    • Plan, manage, and schedule multi-site facility repairs and modifications including bids, contracts, and
    labor/material requirements
    • Creates Organization-wide SOPs for proper maintenance and upkeep of buildings, equipment, grounds, fleet
    vehicles, and HVAC
    • Develops and manages budgets for multi-site department and leads facilities department annual and strategic
    planning
    • Assess and make changes to departmental procedures and processes to maximize efficiency and use of resources
    • Ensure compliance with all regulations concerning certification and licensing of facility equipment
    • Builds and maintains relationships with other departments
    • Participates in Supervisor/Manager, Safety Team, and other relevant meetings
    • Responsible for ensuring that all fire, building safety, security and elevator equipment is in working order and all
    inspections are up to date at all facility locations
    • Creates and maintains electronic documentation of facility systems and features, maintenance schedules, trouble-

    shooting and safety requirements. Ensures electronic documentation of all applicable Organization contractor and
    vendor contact information and other necessary information is created and maintained

    • Ensures oversight of facilities and grounds safety and functionality on a routine basis and ensures corrective action
    is taken as needed
    • Monitors the Organization’s overall energy usage and develops and presents plans to balancing consumption with
    animal and people needs
    • Stays up to date on, and observes, all applicable OSHA and other established safety practices for the department
    and ensures training for, and compliance by, facilities staff, contractors, vendors and volunteers
    • Models safe work practices at all times
    • As a primary responder on the alarm call list, responds quickly to facility emergency situations
    • Manages multi-site vendor and supplier selection and review
    • Responsible for creation/deletion of confidential building access credentials and key assignments
    • Provides oversite for the monitoring of security, fire, lighting and electrical control panels and takes appropriate
    action as needed
    • Meets attendance and punctuality expectations and models the Standards of Professional Conduct
    • Provides coverage and backup in absence of Facility and Maintenance Supervisor(s) and Coordinator(s) at any

    location



    Other Duties/Responsibilities:
    • Leads Building Stewardship Task Force
    • Participates in volunteer recruitment as needed.
    • Attends meetings as assigned
    • Evaluates recycling and sustainability practices and makes recommendations
    • Other duties as assigned


    Job Qualifications:
    Education/Experience: Associate’s degree in applicable field of study or professional work equivalent required. Two or
    more years of experience in an applicable role; a minimum of 1 year of experience with applicable mechanical systems
    (HVAC, plumbing, electrical.). Proven facilities and maintenance project management experience required. A minimum
    of two years providing oversight and supervision of staff, contractors and volunteers. Experience with radiant floor
    heating systems, light commercial cooling systems and hands-on building maintenance and repair required. Experience
    with electronic control panels for security, lighting, HVAC and electrical system required. Information Technology (IT)
    vendor management highly desired. Applicable technical certifications a plus.

    Knowledge: Knowledge of maintenance tools and equipment and grounds keeping. Knowledge of basic carpentry,
    painting, plumbing, HVAC, lighting and electrical and mechanical theories. Knowledge of maintenance safety
    requirements and programs. Knowledge of radiant floor heating systems and light commercial cooling systems.
    Knowledge of commercial building fire sprinkler and suppression systems a plus. Knowledge of applicable OSHA
    requirements.

    Skills and Abilities: Proven technical skills required: general maintenance and repair, light carpentry, simple drywall
    repair, commercial painting, general mechanical and plumbing. Supervision of landscape planning, maintenance and
    vendors. Excellent communication and advanced computer skills, including Excel and Word skills, required. Able to
    work independently and on a team, problem-solve quickly, proactively initiate and ensure project completion in a timely
    manner. Able to work a flexible schedule as required and able to work around animals. Excellent customer service,
    interpersonal and emotional intelligence skills are essential. Able to use good judgment and the Organization’s
    resources effectively and responsibly. Able to read, interpret and work with schematics, blueprints and sketches.
    Ability to see distance and space relationships, to see peripherally and to distinguish and identify different colors.
    Eye/hand/foot coordination to perform duties. Hearing and speaking abilities required for safe interaction with animals
    and people. Ability to use hands, fingers and sight to complete precise tasks.

    Other: Must be at least 21 years of age for insurance purposes. Must maintain valid Colorado Driver’s License and have
    Colorado compliant vehicle insurance; Must have and maintain an insurable driving record.

    Working Conditions and Physical Activities:
    Work is performed at multiple locations and includes animal areas, office areas, barn and storage areas and outdoor
    areas. Potential for exposure to all weather conditions. Potential for working in small and/or confined areas such as
    crawl spaces, in wet areas and at heights on ladders and roof areas. Potential for exposure to zoonotic diseases and
    cleaning chemicals and potential for exposure to dangerous and fractious animals. Exposure to high noise levels when
    in kennel areas. Physical activities include the potential for standing on feet for 8 or more hours a day; driving a vehicle,
    including a truck or van; kneeling, squatting, crouching and bending. Working with hands and fingers and performing
    repetitive motions is required. Climbing stairs, ladders and working at heights; listening and speaking; reaching and
    pulling or pushing; using power, hand tools, safety equipment and landscaping equipment. Lifting and carrying of up to
    50 pounds without assistance and heavier amounts with assistance.
