Facilities Manager manages the maintenance, construction, repair, and refurbishment operations of one or more facilities or properties. Implements policies and procedures that ensure the optimal functioning of buildings, grounds, and associated equipment. Being a Facilities Manager monitors daily building operations of all systems, including mechanical, electrical, plumbing, HVAC, safety, and waste management to ensure reliability. Tracks work orders for quality, adherence to service standards, and budgeted guidelines. Additionally, Facilities Manager trains supervisors and employees in best practices for maintenance work, service and safety standards, and local laws and regulations. Oversees vendors or contractors engaged for construction projects. Typically requires a bachelor's degree. Typically reports to a director. The Facilities Manager manages subordinate staff in the day-to-day performance of their jobs. True first level manager. Ensures that project/department milestones/goals are met and adhering to approved budgets. Has full authority for personnel actions. To be a Facilities Manager typically requires 5 years experience in the related area as an individual contributor. 1 - 3 years supervisory experience may be required.     Reporting Directly to the VP, Real Estate, Facilities will focus on facility operations, associated financial management, risk management, facility aesthetics, contract administration, project management and safety.

    The role works collaboratively with the Operations team, Real Estate team, hospital leaders, MedVet’s Leadership Team and employees to provide building and equipment maintenance oversight and project management. The Facilities Manager is responsible for facilities operations, completion and tracking documentation, reports and regulatory compliance related to MedVet facilities and equipment.


    Responsibilities include, but are not limited to

    • Accountable for all MedVet locations facilities maintenance and all associated metrics
    • Directly supervises regional facilities maintenance technicians.
    • Support all MedVet sites for facilities related needs.
    • Develops and maintains a proactive and responsive, open line of communication with all levels of the organization, including but not limited to handling complaints, conflict resolution, operational considerations such as fire and life safety system testing.
    • Manages operations help desk system to ensure requests are acknowledged within 24 hours, prioritized based on other requests/projects, and proactively communicates with requestor on status of ticket and resolution time.
    • Completes and/or delegates project tasks submitted by help desk requests.
    • Responsible for improving and maintaining MedVet’s Computer Maintenance Management Software to track maintenance and reliability of our facilities and clinical equipment, ensuring effective use and management of the software by the team.
    • Manage assigned projects from definition to execution. Projects could vary from small retrofits up to major construction, remodel, and/or equipment installation.
    • Responsible for managing and maintaining vendor relationships related to facilities. This includes but is not limited to, security systems, HVAC, landscaping, cleaning services, electricians, and others as assigned.
    • Provides leadership on facility and environmental assessments needed during the due diligence phase of adding new MedVet hospitals.
    • In conjunction with hospital leadership, manages all aspects of the aesthetics of the facility.
    • Controls expenses including negotiating contracts, authorizing expenditures, and reviewing monthly profit and loss statements.
    • Improves the utility utilization of facilities, including electricity, natural gas, water, sewer, steam, and other externally provided resources, which are critical to the operations, in a way that doesn’t compromise the other operational goals of the company.
    • Obtains quotes for operational and capital improvement projects needed for budget preparation.
    • Implements operational and capital projects according to approved budget amounts in a timely manner.
    • Works with the accounting staff monthly to reconcile utility bills and expenses to track spending against cash flow to the property budget.
    • Undertakes financial analysis of operating costs and expenses to identify cost savings, efficiencies, and economies of scale to reduce spending.
    • Manages results-oriented contract services, including bids, negotiation, renewals, payment, supervision and termination. All bids to be conducted in compliance with company guidelines and with the utmost integrity at all times.
    • Accountable for completion of inspections of the interior/exterior of the building and follows up on any deficiencies noted.
    • Maintains all fire and life safety systems according to local code and in a way that protects clients and employees at all times.
    • Maintains liaison with various city departments on building and safety issues. Resolves municipal issues in a timely manner.
    • Manages and oversees any equipment or asset inventory.
    • Provide on call support to our hospitals.

    Knowledge, Skills, and Abilities

    The ideal candidate has a has a bachelor’s degree in business or related degree required. Bachelor’s degree preferred, as well as 7 or more years of facilities operations and maintenance management experience. In addition, this position requires:

    • Must be competent utilizing AutoCAD and Microsoft Office programs including MSWord, Excel, PowerPoint, Outlook, etc.
    • Experience implementing, using, and improving computer management maintenance software and help desk systems required.
    • Ability to learn industry-specific programs.
    • Travel 50% visiting MedVet hospitals in our South & West regions (Texas, Alabama, Louisiana, Utah, California & Washington)
