FACILITIES SUPERVISOR jobs in Longview, TX

Works under the direction of the Senior Manager of Parks, Recreation and Tourism. This position serves as the immediate supervisor of the custodial staff at both Harvey Convention Center and Rose Garden. Responsible for the oversight of both facilities, including reservations, staffing events, overall operations, and provide quality customer service to clients and tourists who rent and/or visit the facilities.

• Assist clients/tourists with rental information of Harvey Convention Center and Rose Garden Center, hours of operation, upcoming events, and questions concerning both facilities, and/or the City of Tyler via telephone, email, or walk-in.
• Compose letters, invoices, contracts, refunds, staff reports, and respond to inquiries.
• Supervise Harvey Convention Center and Rose Garden Center custodial staff, temporary employees and community service workers; includes scheduling, coordinating monthly staff safety meetings, assist in evaluations, and monitors performance.
• Resolve any unsatisfactory work habits from custodial staff through warnings and bring larger issues to the Manager.
• Work with clients to communicate rental information relating to room capacity/layout, costs. and general usage policies.
• Coordinate set up's for events. Ensure all event layouts are given to staff in a timely manner and are correct.
• Maintain filing systems, which includes reviewing and verifying accuracy of data for administration and operations.
• Create and maintain all check lists for cleaning of the facilities.
• Monitor office and janitorial supplies and order as needed.
• Coordinate with the Building Maintenance Worker regarding all repairs/issues needed for the facilities.
• Conduct monthly audits of facilities.
• Be on call during off periods in case of an emergency, customer complaints or an employee calling in for a shift.
• Assist Manager in compiling data for reports (attendance, financial and operational) on a weekly, monthly, and yearly basis.
• Bookkeeping duties (deposits, daily ledgers, daily financial reports, daily receipts, refund processing, donation processing, monthly balancing).
• Must be able to successfully communicate with the public, employees and management in person, email or telephone.
• Must be able to effectively supervise a team of workers.
• Must have the ability to plan and schedule, write clear and concise reports, deal tactfully with employees and general public, develop alternative solutions to problems to evaluate courses of action, and to reach an appropriate decision. Represent the public image of the City of Tyler both in the community in a professional manner.
• Must have knowledge and skills in the operation of business office machines and equipment including personal computer and applications, specifically in Microsoft Office; multi--line telephone; public relations techniques; secretarial skills used in an office; principles and practices of office methods and procedures; composition and grammar; communication, and problem resolution.
• Perform other tasks as assigned by Manager.
