Job Title: Director of Finance
Reports to: Vice President
A. GENERAL SUMMARY AND PURPOSE
Responsible for preparation of financial activity of the Lima/Allen County Chamber of Commerce, Lima Area Chamber Foundation, and Potts Center. Manages administration of Policies and Procedures. Manages technology issues.
B. RESPONSIBILITIES
- Prepares annual budget for Chamber of Commerce and contracting entities in conjunction with the President and staff for approval by the Board of Directors
- Acts as financial consultant to Executive Staff by preparing monthly financial statement, analysis, and variance reports. Forecast to budget projections and keeps Executive Staff & Directors informed of budget issues
- Reviews expenditures, invoices for payment, and signs checks in conjunction with President/CEO. Supervises verification of receipts for expense reimbursements and travel advances
- Provides necessary estimates, analysis, and recommendations for expenditures – primarily capital expenditures
- Establishes procedures for preparation of monthly invoicing and billings, deposits, cash management, database system maintenance, and data processing to comply with G.A.A.P.
- Maintain general ledger and supervises subsidiary journals for accuracy and prepares documents and work papers for audit by C.P.A. firm and Federal 990 & 990T tax returns for all entities
- Supervises and establishes procedures for proper use of petty cash and expense accounts in compliance with IRS regulations
- Maintenance of financial records for the Lima Area Chamber Foundation. This includes maintaining and reporting on the programs with separate financial statements and cash accounts. Serves as Treasurer of the Foundation
- Responsible for membership data base software maintenance and training staff on use of software. Prepare reports from software as needed
- Coordinates the purchase of office equipment, fixtures and furniture, building maintenance, office supplies, and staff room supplies
- Report bi-weekly payroll for Chamber of Commerce and payroll as designated by foundation programs for payroll firm preparation. Maintains payroll records and prepares quarterly and annual payroll reports
- Administers and maintains 125 Cafeteria Benefit Plan and HAS
- Administers and maintains 401(k) Benefit Plan
- Supervises maintenance of employment records including records for insurance and an up-to-date calendar of all sick days and vacation time earned/used
- Prepares replies to Internal Revenue Service notices and other taxing agency notices
- Supervises maintenance of building and equipment. Maintains and manages information data processing equipment, systems, and software. Recommends and installs software. Provides training on equipment and software. Responsible for service calls related to technology issues
- Works with President/CEO in conducting semi-annual building inspections
- Responsible for maintaining an organized and clean office, both interior and exterior
- Responsible for implementation and review annually of human resource manual including policies and procedures
- Prepares budgets for administrative use
- Make recommendations to President on policy issues
- Enforces policies and procedures daily and informs Executive Staff of any concerns
- Make salary adjustments as approved by President

INTERNAL: Chamber Staff
EXTERNAL: Business Leaders & Membership, Committees, Volunteers & Board of Trustees, Lima Young Professionals, Center for Business Services Partners - Economic Development, Convention & Visitors Bureau, Downtown Lima, and Program directors under the Foundation
D. SKILLS REQUIRED
- Experience in fiscal management is required with skills in computer networking, database, spread sheets, charts and graphs, accounting and bookkeeping
- Human Resource experience
- Information system and technical skills required
- Interpersonal Communication Skills
- Ability to communicate effectively and in a professional manner, both verbally and in writing, along with excellent negotiation skills
- Strong people skills, especially when dealing with volunteers and Chamber members
- Ability to work without close supervision and handle multi-tasked operations efficiently
- Strong computer skills relative to social media, marketing, and sales, as well as proficiency in MS Word, Excel, Outlook, & PowerPoint
- Possessing strong knowledge of Lima/Allen County, and having connections to area Businesses & Community Leaders is a plus
- Capable of handling 40lbs.
E. KNOWLEDGE REQUIRED
- High School Diploma Required
- Bachelor's Degree in Accounting or Finance Required
- Experience in Accounting and Computer Systems required
F. OTHER JOB REQUIREMENTS
- Position may require a rather limited amount of out-of-town travel. This has typically included one or two training or association meetings a year. The Chamber covers all business travel expenses on these instances
- Provide own transportation (the Chamber does reimburse employees for mileage incurred during the course of business but not for mileage to and from home), a valid Ohio Driver License, sufficient current automobile insurance, and their own mobile phone
- This demanding full-time position may require frequent before hours and after-hours meetings and events, and requires a schedule that is flexible enough to allow for these meetings. Occasionally it will require extra hours to ensure successful events and projects
- All Chamber employees are required to perform their duties with a degree of flexibility that includes pitching in to help fellow team members during special events & projects
- Understand the importance of flexibility pertaining to duties, willingness to take on new tasks, and must understand the importance of maintaining confidential information at all times
Pay: $50,000 - $65,000 Depending upon experience
