Overview:
We are seeking a detail-oriented and organized Administrative Assistant to join our team for a part-time position that could quickly become a full-time position. This work schedule will begin with Tuesday through Friday 5 hours each day. The ideal candidate will have excellent communication skills, be proficient in computer applications, and have a strong ability to multitask. As an Administrative Assistant, you will play a crucial role in supporting our daily operations and ensuring the smooth functioning of our office, including providing administrative & clerical support for 3 on site and 3 remote advisors.
Duties:
- File and maintain documents and records
- Proofread documents for accuracy and completeness
- Utilize computerized systems to manage data and information
- Assist with bookkeeping tasks using our software
- Provide administrative support to various advisors
- Manage calendar for Principal Advisor
- Greet visitors and provide excellent customer service
- Assist with event planning and coordination
- Support project coordination efforts
- Provide customer support through phone, email, or in-person interactions
Skills:
- Proficient in file management and organization
- Strong proofreading skills with attention to detail
- Computer literacy with proficiency in Microsoft Office Suite (Word and Excel are a must)
- Experience with financial/investment advisory software is a plus
- Previous experience as an Administrative Assistant for Financial Advisor is a plus
- Ability to manage calendars and schedule appointments effectively
- Excellent event planning and coordination skills
- Strong project coordination abilities
- Exceptional customer service skills
