Financial Assistant (Public) provides assistance to the Public Financial Associates. Assists in the financing of taxable and tax-exempt bonds. Additionally, Financial Assistant (Public) verifies compliance with NASD and other regulations and completes all required filings for a deal.     Role Overview

    The ideal candidate will have experience with administrative aspects of the legal and administrative industry, have a working knowledge of the mortgage/real estate/finance industry, be familiar with day to day business best practices for both legal and administrative work. This position while a contracts reviewer, will be also performing receptionist duties and will be stationed at our Corporate Office’s front desk area.

    Essential Duties: In addition to related job duties as assigned, this position will:

    TPO set up duties may include:

    • Ensure all specific broker/correspondent/wholesale lender expectations are met daily by tending to Client account maintenance (i.e. running and checking daily report related to TPO Client Account Setup)
    • Running due diligence reports on TPO entities

    Legal-related duties may include:

    • Utilize MSF’s document and file management system(s) to accurately maintain company contracts, and other documents/records as required in a centralized filing location for convenience of in-house counsel.
    • Review and revise leases and contracts against established checklists, policies, procedures and business directives.

    Vendor management related duties may include:

    • Draft, evaluate, and negotiate vendor contracts; review and share redlines between both parties, while managing draft versions in the process and maintaining all final agreement for third-party services.
    • Manage the vendor contract library - securely storing, organizing, and retrieving all contracts and documentation supporting vendor relationships and corresponding due diligence.
    • Ensure that pertinent information is maintained centrally for each vendor management relationship including but not limited to; contract term, expiration date and general purpose of the relationship.

    Administrative Assistant related duties may include:

    • Handle general inquiries from external parties and customers via computer, phone, and in-person
    • Assign leads to appropriate Loan Officers following approved processes and procedures.
    • Assist with maintaining office cleanliness and organization.

    Qualifications, Experience & Knowledge

    • At least 1 year experience reviewing contracts, preferably within a mortgage/banking/financial environment
    • Ability to read and understand legal terms, and use them in work processes
    • Excellent verbal and written communication skills, including grammar and punctuation
    • Work well independently and also as part of a team
    • Able to work in a high stress, fast paced environment
    • Must be detail oriented, well organized and can multi-task and problem solve
    • Experience with PCs Window format; Fluent with Microsoft Office and Excel and document manipulation programs such as Adobe Reader

    Physical Requirements

    • Stationary position; prolonged periods at a desk and working on the computer.
    • Occasional movement about inside the office to walk to offices and office machinery.
    • Occasional lifting up to 10 pounds, must be able to push, pull, pull up, bend at the knees and waist, twist body at the waist, raise and hold arms overhead, turn head-neck-shoulders as needed, grasp and hold tools and other items with hands, for either extended periods of time or many times throughout the workday.
