Financial Assistant (Public) provides assistance to the Public Financial Associates. Assists in the financing of taxable and tax-exempt bonds. Being a Financial Assistant (Public) prepares business reports, proposals, and presentations. Coordinates meetings and communications between all parties involved with transactions. Additionally, Financial Assistant (Public) verifies compliance with NASD and other regulations and completes all required filings for a deal. Familiar with underwriting policies, practices, and regulations. May require a bachelor's degree. Typically reports to a supervisor or manager. The Financial Assistant (Public) works under moderate supervision. Gaining or has attained full proficiency in a specific area of discipline. Purpose of this Position: To provide a friendly and professional face to clients through personal contact, assisting all staff, and maintaining an efficient and organized office.
Hospitality Management
· Maintain a “friendly” and orderly reception area
· Greet clients in person, using their name
· Offer beverages/snacks
· Engage client in conversation, when possible, share information about client interests, talk about special events with advisor
· Manage waiting time if advisor is running late, acknowledge delay, and keep them occupied (shouldn’t exceed 15 minutes)
Client Relations Support
· Send sympathy/celebration baskets/flowers as needed
· Send marketing material: i.e. books, trinkets, awards, etc.
Communications
· Answer phone calls in a friendly and consistent manner, identifying self
· Answer all incoming communications such as telephones, emails, faxes and letters
· Direct callers to appropriate person as efficiently as possible
· Screen callers as needed
· Set appointments on as needed basis, plan internal meetings, arrange travel
· Create, store and send correspondence by preparing presentations, reports, letters and other materials needed by internal staff and clients
Photocopying/Scanning
· Copy forms and contracts for all departments
· Copy materials needed for programs/events/trade shows, conferences, etc.
· Get mail and open all incoming mail and distribute accordingly
· Prepare overnight deliveries and log them for future reference
· Post and mail all outgoing mail
Supplies
· Inventory and order all office supplies as needed,
Office Maintenance
· Perform trouble shooting for telephones/office equipment
· Maintain list of contacts for plumbing and other repairs
· Manage the office cleaning: refrigerator, reception area, conference room, etc.
· Shop for office supplies or pick up lunch for the staff.
Data Entry
· Enter information into database as needed to support all departments
· Track metrics and metric reporting for all departments
Filing
· Advisor licensing files
· File all hard-copy documents and reports; collection of data must have a hard copy printed out to maintain a permanent file.
