    General Purpose:

    Through extensive use of the telephone and email, this position is responsible for supporting the development and growth of Independence Financial Advisors by establishing a rapport with new and existing Company clients. The incumbent is responsible for enhancing the clients’s overall experience and will provide efficient, accurate and professional service, in keeping with the Company’s Mission and Vision. Service will be provided with a consistently high level of quality, while continually recognizing the need to retain and expand client relationships. The incumbent is responsible for assisting with all marketing and social media.The incumbent will work directly with the Senior Vice President of the Franklin Office.

    Primary Duties & Responsibilities:

    1. The incumbent will be responsible for the supervision of assigned personnel in multiple locations

    2. Organize, schedule, and distribute work among assigned personnel

    3. Provide for the proper security of all non-public personal information

    4. Ensure that staff complete all required compliance training

    5. Maintain a supportive working relationship with staff

    6. Keep personnel informed of pertinent policies and procedures affecting the office and/or their jobs; create an atmosphere in which upward communication from employees is encouraged

    7. Provide a climate for motivation

    8. Evaluate performance

    9. Approve time records and requests for time off

    10. Working with the Advisors, coordinate the workshop process; registrations, workshop materials, and following up afterwards with attendees to schedule additional appointments.

    11. Assists in coordinating the referral process, including but not limited to, creating reports to track referral sources, dates and status, etc.

    12. Routinely up-date and maintain software applications and databases to ensure the accuracy and integrity of the Company’s client information files.

    13. Provide training for any software application changes as it relates to client servicing as well with any Fidelity and TD new account/onboarding processes and changes

    14. Schedule client appointments with IFA investment staff and legal counsel, as well as scheduling for education classes and seminars.

    15. Assists with the development and dissemination of information designed to keep the public informed of IFA’s products and services.

    16. Through the use of the phone and email, follow-up with potential clients which have resulted from various marketing/promotional programs.

    17. Working with the Advisors, manage and oversee the organization of the Fisher Cat schedule and ticketing.

    18. Assists with updating and managing IFA’s social media including the website and monitoring any client interactions therein.

    19. Perform other administrative duties when necessary.

    Skills/Experience/Training

    High School graduate or equivalent diploma is required.

    A minimum of six months experience in an office or similar setting with a concentration in telephone communications.

    Must be able to communicate effectively whether in person or over the phone.

    Strong organizational skills along with the ability to handle multiple projects.

    Must be willing to provide a flexible working schedule in a fast-paced, ever-changing office environment.

    Maintain a strong working knowledge of personal computers and Microsoft Office products.

    A pre-employment assessment may be required.

    Working Conditions

    Moderate physical effort is required with respect to dexterity, visual attention and application as needed for the continual use of the telephone and personal computers. This is normally a seated position with occasional freedom of movement.
