Fleet Administrator assists in administrating and coordinating motor vehicle fleet operations. Understands OSHA, DOT, fleet-specific regulations, licensing, registration, and reporting requirements. Being a Fleet Administrator prepares and maintains accurate records of vehicles, insurance, and required regulatory filings and reporting. Coordinates repairs and preventative maintenance scheduling that support fleet vehicle availability requirements. Additionally, Fleet Administrator may assist with safety training and communication programs. May require an associate degree or equivalent. Typically reports to a supervisor. The Fleet Administrator works under moderate supervision. Gaining or has attained full proficiency in a specific area of discipline.     JOB SUMMARY
    The Fleet Services Coordinator will coordinate the onboarding process for new Fleet Team clients and support execution of strategies for existing clients as necessary, collaborating with the Fleet Services and Business Development staff as well as other internal partners. The Fleet Services Coordinator’s day-to-day responsibilities include supporting audits of potential clients, creating sales quotes and orders for all clients, and ensuring timely execution of maintenance programs through vendor follow-up and effective internal project management, along with other related special projects supporting the organization’s needs and growth.

    ESSENTIAL FUNCTIONS
    • Assist Fleet Services Managers with ongoing proposals and quotes for various equipment, devices, and services as requested by the client or Strategic Consultant.
    • Make outbound contact with vendors following up on missing or late items from service providers for clients.
    • Support the addition and removal of client assets to various maintenance programs.
    • Assist with transportation/freight for Fleet Services Managers to execute on client needs.
    • Manage the onboarding process of new Fleet Team clients, in conjunction with the assigned Strategic Consultant and Fleet Services Manager(s).
    • Assist the Business Development team, Application & Integration Specialists, and Fleet Auditor with needs related to audits for potential clients and existing vendor information.
    • In conjunction with the Application & Integration Specialists, identify current and potential needed resources from within the company for new clients during the client’s life cycle, based on newly defined Scope of Work
    • Processes onboarding client inquiries and requests, reviewing with the appropriate Fleet Services Manager and Strategic Consultant.
    • Manage all client and vendor files including Master Service Agreements, invoices, and other documents in the appropriate databases.
    • Manages special projects and schedules tasks, coordinating with various team members to accomplish the results.

    POSITION QUALIFICATIONS

    EDUCATION
    • High School Diploma required. Bachelor’s degree in Business, Marketing, Supply Chain, or related field preferred.
    EXPERIENCE
    • At least one year of professional or internship experience in a business/customer service environment
    • Prior experience in project/account management.
    • Skills/experience in Microsoft Excel and other Microsoft Office platforms.
    • Previous experience with Salesforce or other CRM/databases preferred.
    ADDITIONAL REQUIREMENTS
    • Ability to work independently and to effectively prioritize demands and execute tasks.
    • Keen attention to detail.
    • Strong project management and organizational skills.
    • Travel up to 10% required for potential client audits
    • Strong written and verbal communication skills with the ability to convey information to internal and external customers in a clear and concise manner.
