Fleet Administrator assists in administrating and coordinating motor vehicle fleet operations. Understands OSHA, DOT, fleet-specific regulations, licensing, registration, and reporting requirements. Being a Fleet Administrator prepares and maintains accurate records of vehicles, insurance, and required regulatory filings and reporting. Coordinates repairs and preventative maintenance scheduling that support fleet vehicle availability requirements. Additionally, Fleet Administrator may assist with safety training and communication programs. May require an associate degree or equivalent. Typically reports to a supervisor. The Fleet Administrator works under moderate supervision. Gaining or has attained full proficiency in a specific area of discipline.     The Regional Fleet Administrator is an advanced fleet professional who is proactive, detail-oriented, and customer-focused. Reporting to the Fleet Manager, this role is crucial for coordinating vehicle up-fitting, rental deals, production schedules, and service repair schedules for PTR-owned facilities and third-party contractors. A Region Fleet Administrator will be the main point of communication between sales and operations, ensuring strong partnerships for seamless coordination across multiple departments. In addition, this role will play a vital role in rental fleet assessment management driven by supply, demand, inventory metrics, and ROI to optimize our operational efficiency. 


    COMPENSATION

    This position has a competitive compensation package combining hourly base pay plus profit sharing paid quarterly after one year of employment.  $60k - $70k per year DOE.

    RESPONSIBILITIES
    • Order Management and Coordination:
    • Liaison between sales and supply chain to understand current and future requirements to ensure realistic delivery timelines.
    • Source and provide optimal solutions for customers considering inventory availability, freight, customer-required timing, and capacity at site locations.
    • Ensure timely and accurate responses to support the sales team in exceeding customer expectations.
    • Manage the backlog of customer orders and escalate concerns regarding stock availability affecting customer demand.
    • Coordinate with the sales team to validate the accuracy of work orders, adjust if needed, and ensure the best units are selected for orders.
    • Manage labor capacity with the operations team taking into account PTO and maintaining flexibility for rental demand and production.
    • Collaborate with the parts team to ensure timely availability for production and rentals.
    • Collaborate with operations for yard organization and efficiencies.
    • Use financial and physical utilization and contribution margins when planning production builds.
    • Ensure operations schedules are accurate and visible.
    • Manage the backlog of customer orders and escalate concerns regarding stock availability affecting customer demand.
    • Demonstrate a global understanding of the PTR business from order to end-user.
    • Stay up to date on product lines, uses, and upfits offered by the organization.

    • Inventory and Data Accuracy:
    • Manage inventory levels and track equipment availability.
    • Conduct regular audits and reconcile discrepancies to ensure inventory accuracy for our fleet.
    • Workshop order management.
    • Accuracy of data across multiple sources and departments.
         
    • KPI Monitoring and Continuous Improvement:
    • Monitor Key Performance Indicators (KPIs) and utilize fleet management principles to make short-term and long-term decisions.
    • Manage and track production targets for budget and forecast.  Liaison with operations and supply chain to ensure targets are met and deviations are addressed or remedied.
    • Collaborate with department leads to improve fleet management processes and identify Continuous Improvement (CI) opportunities.
    • Drive continuous improvement and participate in new launches. 


    REQUIREMENTS
    • 4 years of inventory or fleet administration work. Some knowledge of the rental industry, customer service, upfits, and equipment required.
    • Detail-oriented with a sense of urgency and accountability.
    • Excellent communication and leadership skills.
    • Continuous improvement mindset, with the ability to manage processes manually during implementation.
    • Strong multitasking and prioritization skills.
    • Excellent problem-solving and critical thinking abilities.
    • Ability to work collaboratively with cross-functional teams but also work independently.
    • Proficiency in utilizing D365, Fleet Wave or other scheduling software, Power BI reporting, SharePoint, internal databases, and Microsoft Office Suites (Outlook, Excel, etc.).
    • Analytical and strategic mindset with the ability to make data-driven decisions.
    • Degree preferred but not required.
