Fleet Administrator assists in administrating and coordinating motor vehicle fleet operations. Understands OSHA, DOT, fleet-specific regulations, licensing, registration, and reporting requirements. Being a Fleet Administrator prepares and maintains accurate records of vehicles, insurance, and required regulatory filings and reporting. Coordinates repairs and preventative maintenance scheduling that support fleet vehicle availability requirements. Additionally, Fleet Administrator may assist with safety training and communication programs. May require an associate degree or equivalent. Typically reports to a supervisor. The Fleet Administrator works under moderate supervision. Gaining or has attained full proficiency in a specific area of discipline. Fleet Manager
· Oversee drivers
· Developing efficient driver schedules to maximize profits.
o Ensuring all drivers make our quarterly goal.
o Booking second loads daily for drivers
· Managing drivers so they adhere to strict schedules.
o Manage driver PC time.
o Ensure on-time deliveries.
o Review Hours of service periodically throughout the week to ensure drivers have the time to deliver loads.
· Check AS400 for all trucks
o Identify who is running late for delivery or pickup
o Update any dispatchers that happened the previous evening
· Communicate potential service issues
o Notify customer and terminal if loads are running late
· Identify drivers that will be empty today and need reload
o Contact terminals and Load planners for loading options
o Any driver that doesn’t have a planned load is your top priority
o Do not Dead head trucks off the East Coast to Cover Proctor WV loads. Call PGT Hopewell to cover those loads.
· Preplanning drivers for tomorrow and the next day
· Communicate to Terminals and Load Planners your needs
· Identify potential load availability concerns and communicate to Diego Navarro
· Communicate with your Fleet- send driver messages early afternoon
o Safety message to fleet
o Idle time discussions with high idlers
o PM review and scheduling
· Ensure drivers are all on track with their planned dispatchers.
· Ensure correct trailer is assigned.
· Ensure status is accurate.
· Ensure driver can make on time delivery accounting for travel time and 10-hour break
· Participate in strategic planning and collaborate with other managers and staff members to formulate and implement policies, procedures, goals, and objectives.
· Build and maintain a positive work environment recognizing and valuing team members and their contributions. Maintain frequent communication.
· Address and document any disciplinary issues to include assisting in terminations.
· Provide input and assistance in the development and implementation of procedures and standards of service to effectively support and achieve performance results and customer satisfaction.
· Maintain customer satisfaction, provide problem solving resources, and handle escalated customer issues.
· Address and resolve driver issues.
· Maintain a safe and clean working environment and comply with federal, state, and corporate safety and environmental activities.
· Embrace, promote, and lead continuous improvement efforts.
· Other duties as assigned.
