Fleet Administrator assists in administrating and coordinating motor vehicle fleet operations. Understands OSHA, DOT, fleet-specific regulations, licensing, registration, and reporting requirements. Being a Fleet Administrator prepares and maintains accurate records of vehicles, insurance, and required regulatory filings and reporting. Coordinates repairs and preventative maintenance scheduling that support fleet vehicle availability requirements. Additionally, Fleet Administrator may assist with safety training and communication programs. May require an associate degree or equivalent. Typically reports to a supervisor. The Fleet Administrator works under moderate supervision. Gaining or has attained full proficiency in a specific area of discipline.     The Customer Service and Sales Representative is the friendly, knowledgeable voice of American Van Equipment! This relationship builder is primarily responsible for serving as the day-to-day customer contact for questions related to products, order requirements and status as well as other aspects of the supplier/customer relationship. Working closely with, and providing support to the Sales and Operations Departments, to ensure accuracy of purchase orders, availability of product and timely processing of all orders.


    ESSENTIAL DUTIES AND RESPONSIBILITIES:

    • Primary point of contact for existing and potential customers
    • Effectively communicate on the telephone to gain insight into customer needs while entering customer detail
    • Determine customer requirements and expectations to recommend specific products and solutions
    • Communicates with all individuals whose involvement impacts customer communications and satisfaction
    • Tracks shipment status of customer orders
    • Resolves product or service issues by clarifying customer needs, determining cause, selecting and explaining with detail, and implementing best solution
    • Communicates with freight carriers regarding customer orders
    • Handles inquiries made via email, website, and/or chat
    • Works closely with showroom customers as well as scheduling installation work
    • Communicates with warehouse manager on customer pickup orders
    • Maintain customer records by updating needed account information
    • Prepares and sends electronically quotes for existing and future customers
    • Captures needed detail and collaborates with key management personnel involving special price requests that support fleet, muni and large volume opportunities
    • Sends order acknowledgements and composes letters to existing customers and future prospects
    • Quotation follow-up
    • Assimilates customer credit information and provide to the accounting department
    • Other duties as assigned


    SUPERVISORY RESPONSIBILITIES:

    • This job has no supervisory responsibilities

    QUALIFICATIONS:

    • High School Diploma, Associate's degree (A.A) or equivalent from two-year College or technical school preferred
    • Preferred experience in customer service, sales or related experience and/or training

    • Ability to read, write, speak, and comprehend English
    • Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization in person, on the phone, and in writing


    COMPUTER SKILLS:

    • Internet based software
    • Order processing software
    • MS Office


    PHYSICAL DEMANDS:

    • The employee must have adequate hearing and visual acuity.
    • The position requires being seated a good portion of the day. Employee may occasionally lift and/or move up to 10 pounds.

    PPE REQUIREMENTS:

    • In compliance with OSHA standards it has been determined that Safety glasses and footwear are required on the plant floor


    WORK ENVIRONMENT:

    • The noise level in the work environment is usually moderate
    • Working environment is in an air-conditioned cubical with occasionally physically going into an unheated/air- conditioned manufacturing/warehouse setting where the employee may be exposed to dust, odors, oils, cleaning solvents, lubricants, or noise


    WORK HOURS:

    • Expected to work 40 hours weekly, paid Overtime
    • Typical office hours are worked between 8am-8pm Monday thru Friday
    • Work hour requirements could vary with business needs
