Fleet Administrator assists in administrating and coordinating motor vehicle fleet operations. Understands OSHA, DOT, fleet-specific regulations, licensing, registration, and reporting requirements. Being a Fleet Administrator prepares and maintains accurate records of vehicles, insurance, and required regulatory filings and reporting. Coordinates repairs and preventative maintenance scheduling that support fleet vehicle availability requirements. Additionally, Fleet Administrator may assist with safety training and communication programs. May require an associate degree or equivalent. Typically reports to a supervisor. The Fleet Administrator works under moderate supervision. Gaining or has attained full proficiency in a specific area of discipline.     Position Summary:

    As a Maintenance and Fleet Administrator you will be responsible for managing the day-to-day operations of our company's fleet of vehicles ensuring that all vehicles are properly maintained. You will also assist with the maintenance and repair of all AHS facility's plumbing, heating, cooling and electrical systems keeping the premises safe and comfortable for the animals, the public and employees. As an approved AHS driver, this position is designated as safety sensitive; misdemeanor and felony charges and/ or convictions may disqualify you from the position.


    Essential Functions:

    • Assist departments in scheduling with third party vendors to arrange maintenance and repair services for vehicles.
    • Communicate with leadership and the repair and maintenance vendors regarding service appointments for each vehicle.
    • Coordinate emergency repairs if any of the vehicles encounter problems on the road.
    • Coordinate transportation needs and provide transportation as needed for departments when picking up or dropping off vehicles.
    • Maintain a fleet inventory spreadsheet of all vehicles owned by the company.
    • Assist with the development of new policies or procedures to maintain standards.
    • Work with the accounting team to ensure that all company vehicles are insured and oversee and maintain all AZDOT vehicle registration and emissions testing.
    • Utilize the Enterprise Fleet Management dashboard as a tool in overseeing and maintaining our vehicle fleet.
    • Monitor facilities for needed replacement, maintenance, preventative maintenance or repair.
    • Process requests for repair, maintenance or small construction projects for all departments.
    • Respond quickly in the event of an emergency, notify appropriate personnel and follow safety protocol.
    • Other duties as assigned.

    Qualifications and Experience:

    • Minimum 2 years of experience in building maintenance
    • General working knowledge of automotive maintenance

    Education / Certifications / Licenses:

    • High school diploma / GED preferred
    • Must be 21 years old
    • Valid Driver's License
    • Acceptable driving record and ability to pass drug and background screening to be insured as an AHS driver

    Knowledge / Skills / Abilities:

    Language - Able to speak, read, write and understand English, Spanish preferred.

    Mathematical - Basic

    Technical - Proficiency with Microsoft Word, PowerPoint, Excel and Outlook and able to learn other software programs as necessary.


    Other Skills, Abilities and Qualifications:

    • Candidate must have the ability to multi-task and be flexible to pivot as needed.
    • Possess great time management skills.
    • Possess strong interpersonal communication skills.
    • Must be able to make decisions and be accountable.
    • Regular attendance and punctuality required.

    Work Environment / Physical Demands:

    While performing the duties of this job, the employee is frequently required to stand, walk, sit, have dexterity to handle, or feel objects, tools or controls, reach with hands and arms, climb stairs, balance, stoop, kneel, crouch or crawl. The employee must occasionally lift and/or move up to 100 pounds. Must be able to walk and be on feet the majority of the day. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.     There will be exposure to dust, heat, cold and temperature changes; occasional wet floors, and animal noises, odors and dander. Time is divided between typical air conditioned and heated office environments and the outdoors.
