Fleet Administrator assists in administrating and coordinating motor vehicle fleet operations. Understands OSHA, DOT, fleet-specific regulations, licensing, registration, and reporting requirements. Being a Fleet Administrator prepares and maintains accurate records of vehicles, insurance, and required regulatory filings and reporting. Coordinates repairs and preventative maintenance scheduling that support fleet vehicle availability requirements. Additionally, Fleet Administrator may assist with safety training and communication programs. May require an associate degree or equivalent. Typically reports to a supervisor. The Fleet Administrator works under moderate supervision. Gaining or has attained full proficiency in a specific area of discipline.     NATURE OF POSITION

    Supervise multiple job classifications in the maintenance of Agency vehicles and equipment while ensuring compliance with Federal, State, and local guidelines and Occupational Safety and Health Administration (OSHA) Standards are being met.

    • Plan and coordinate shop activities including staffing and scheduling in a union environment.
    • Supervise and coordinate interior and exterior cleaning of all Agency vehicles.   Collaborate with the Manager of Fleet Maintenance on development and implementation of a maintenance cleaning program.     
    • Schedule major repairs and daily maintenance of fleet; review daily maintenance checklist and work practices; ensure technicians are performing inspections and repairs in accordance with manufacturer’s recommendations.
    • Monitor a preventative maintenance program to improve the safety and reliability of vehicles and equipment.
    • Maintain inventory; review operating records and costs to ensure work orders are charged to appropriate budget accounts.
    • Provide technical expertise in every aspect of the repair, modification, and maintenance of vehicles and equipment.
    • Administer training to staff regarding safety programs; proper usage of Personal Protect Equipment (PPE); proper disposal techniques of hazardous waste in compliance with environmental regulations.
    • Identify and recommend cost reduction solutions to maximize operational efficiency.
    • Participate in union contract administration.  
    • Work with and maintain confidential information.
    • Other duties as assigned.

    MINIMUM QUALIFICATIONS

    High School Diploma or G.E.D. and completion of a technical certification program and four-years of progressively responsible relevant experience; or any equivalent combination of experience and education. Must possess a valid driver’s license.

    LICENSES, CERTIFICATIONS & OTHER REQUIREMENTS

    Must obtain and maintain the following licenses and certifications for continued employment at BFT:

    • Commercial Driver’s License (CDL) and corresponding medical certification and endorsements, or ability to obtain within 180-days of employment.
    • First Aid and CPR certification; or ability to obtain within 180-days of employment.

    PREFERRED QUALIFICATIONS

    Associate degree in Automotive Technology or related field or four-years of progressively responsible relevant experience.

    • Theory, operation, and repair of gasoline and diesel-powered vehicles and equipment.  
    • WISHA and OSHA Standards.
    • Principles of supervision, training, scheduling, and motivation.
    • Principles of quality assurance, including preventative maintenance.
    • Experience using a major fleet management information software system.
    • Equipment and tools used in the maintenance and repair of transit vehicles.
    • Plan and schedule the work of a maintenance shop for optimum production.
    • Learn new technologies, policies, procedures, and guidelines established by professional organizations and/or governing agencies.
    • Utilize office equipment and other relevant technology to meet business needs.
    • Communicate clearly and concisely, both orally and in writing.
    • Work as a team member and independently; effectively apply organizational and time management skills; meet deadlines and comply with Agency policies.
    • Focus on tasks and recall details; handle frequent interruptions.
