Fleet Administrator assists in administrating and coordinating motor vehicle fleet operations. Understands OSHA, DOT, fleet-specific regulations, licensing, registration, and reporting requirements. Being a Fleet Administrator prepares and maintains accurate records of vehicles, insurance, and required regulatory filings and reporting. Coordinates repairs and preventative maintenance scheduling that support fleet vehicle availability requirements. Additionally, Fleet Administrator may assist with safety training and communication programs. May require an associate degree or equivalent. Typically reports to a supervisor. The Fleet Administrator works under moderate supervision. Gaining or has attained full proficiency in a specific area of discipline.     Position Responsibilities:
    • Set up construction jobs and job estimates in company accounting system
    • Maintain equipment inventory lists and update for additions and disposals accordingly
    • Responsible for Fuel Tax reporting for IFTA and state fuel tax refunds
    • Responsible for Dyed Diesel Annual Reporting
    • Charge out bulk fuel to various equipment and jobs as needed
    • Maintain material inventories and charge out as needed
    • Responsible for filing annual Property Tax Renditions with various jurisdictions
    • Complete required filings related to Federal HazMat permits, Heavy Use Tax, and UCR Registrations
    • Maintain and distribute insurance cards, IFTA permits, and other permits to fleet annually
    • Additional duties as directed by supervisor

    Essential Skills and Experience:
    • High school diploma or equivalent
    • Minimum 1 year of data entry experience
    • Outstanding time management and organizational skills
    • Ability to communicate effectively and professionally, both orally and in writing
    • Strong analytical and follow-up skills with attention to detail
    • Strong computer skills with proficiency in Excel
    • Ability to establish and maintain effective working relationships with a wide cross-section of individuals
    • Ability to work well in a fast-paced environment under pressure of strict deadlines
    • Experience with DOT compliance and regulations a plus
    • Bi-lingual skills preferred, but not required

    Physical requirements:
    • Perform primarily sedentary work with limited physical exertion and occasional lifting of up to 20 lbs.  Must be able to operate routine office equipment including telephone, copier, computer terminal and keyboard, facsimile, calculator and understand computer basics.  Must be able to routinely perform work on a computer for an average of 6-8 hours per day, when necessary.  Must be able to work extended hours when required or requested by management.  Must be capable of regular, reliable, and timely attendance.
