Fleet Manager manages the acquisition, operations, and maintenance of the organization's fleet of motor vehicles. Oversees scheduling and dispatch operations for vehicles and drivers. Being a Fleet Manager evaluates, purchases, leases, and disposes of vehicles to maintain the fleet. Develops and maintains vendor and service provider relationships for fuel, maintenance, and other essential services. Additionally, Fleet Manager administers insurance policy coverage, negotiates agreements, and participates in claim resolution. Develops and implements safety, preventive maintenance, and accident prevention programs. Knowledge of OSHA, DOT, and fleet-specific regulations, licensing, registration, and reporting requirements. Manages the fleet expense reporting and budgets. May require a bachelor's degree or equivalent. Typically reports to a head of a unit/department. The Fleet Manager manages subordinate staff in the day-to-day performance of their jobs. True first level manager. Ensures that project/department milestones/goals are met and adhering to approved budgets. Has full authority for personnel actions. To be a Fleet Manager typically requires 5 years experience in the related area as an individual contributor. 1 - 3 years supervisory experience may be required.     We are seeking a skilled Fleet Manager to oversee our transportation operations. The ideal candidate must have experience in fleet (hands-on/physical tech), managerial or supervisory over subordinates, and a master a administration/clerical.

    Job Description:

    Ultimately, the responsibilities of the Fleet Manager are to oversee operational, performance and overall roadworthiness standards of the fleet while ensuring the operations team has the correct number of vehicles to support the number of routes on any given day.

    The FM (Fleet Manager) is a key employee and must ensure fleet related tasks are carried out in an appropriate, compliant, and cost-effective manner to remain reliable and profitable. Responsibilities include managing up to 80 vehicles including the coordination of rentals, overseeing the vehicle metrics; performance & quality while maintaining all KPIs. The Fleet Manager will also collaborate with the operations team, department heads and owners on a regular basis and proactively for fleet planning.

    Roles and Responsibilities – Daily Operations & Delivery Logistics

    • Own the fleet management process from A to Z with safety as priority
    • Ensure compliance with all DOT and fleet standards, maintain metrics and analyze data to assess fleet performance and opportunities to improve our safety and fleet standards
    • Be present during the morning load up process to represent the company in the launch pad and to ensure fleet standards
    • Make objective and rational decisions with available information in a fast-paced environment
    • Promote company’s reputation as safest and most reliable
    • Participate in continuous improvement projects to gain fleet excellence
    • Ensure profitability by controlling costs and managing the resources, inventory, and driver knowledge to meet needs
    • Inventory management to track inhouse supplies and generate resupply orders as needed based on quality & quantity of vehicles, transport costs and efficiency
    • Determine what inventory is required so standard repairs can be made quickly with little to no downtime on vehicles. This includes shop supplies, special tools, mirrors, lights, bulbs, wiper fluid, side steps, etc.
    • Direct, optimize, coordinate and trouble shoot all vehicles for repairs ranging from wiper blades to major damages utilizing a combination of approved vendors and your own ability to fix/solve keeping speed “down time”, cost and safety factors in the decision to repair
    • Ensure all vehicles are road worthy – no vehicle shall enter the load zone without meeting safety requirements -Ground internally our vehicles to hold out of service for repairs
    • Ensure the accurate number of vehicles to match the minimum required routes per day without compromising the PM schedule or safety requirements
    • Emergency field repairs/visits from time-to-time repair vehicles in the field, pull them from a ditch (pending truck and tools), change flat tires, tow, and fix customer/public property such as mailboxes or lawn, etc.
    • Accident/Incident Reporting is the Fleet Administrator's (FA) duty to log all accidents, ranging from minor to major. Obtaining written signed statements from driver for each accident and recommending action to be taken against driver to operational manager/owners. Fleet Administrator will also gather all information, photos, documents, and other party’s insurance information and submit to corporate offices when a claim must be filed with our insurance vendor.
    • Design and implement a parking and dispatch plan in coordination with the site. This includes drafting instructions; layout of lot and training shift leads how the vehicles will be parked and orchestrated to enter and exit property safely.
    • Host and educate the drivers in a monthly Clinic on vehicle basics, safety, and benefits to mitigate risk on the road. Setting the drivers up well equipped with knowledge is cyclical to the KPI, safety metrics and overall success of the team
    • Coach employees on proper vehicle performance & safety basics along with counsel on any incident and behavioral issues
    • Ensure a proper maintenance schedule is developed and achieved for “On-Time” metrics, mileage is accurately recorded on a regular basis to report to leasing companies
    • Manage each vehicle including keeping a valid registration, insurance cards and accident report forms for drivers.
    • Maintain all paper and electronic records and files for each vehicle while partnering with vendors for prompt reporting.
    • Follow through is critical to the timeline to keep vehicles “road worthy” including mileage log with detailed maintenance record - Organize, file, and complete all administrative duties related to Fleet Management; use Microsoft Office Programs and portals for report generation and data entry and analysis
    • Know the minimum route commitments and responsible for determining if we need to order vehicles “rentals” from vendor or to return vehicles along with a cost analysis and reconciliation for billing accuracy AR/AP.
    • Fleet Administrator (FA) will coordinate the pickup/delivery and drop off each rental including all documentation.
    • Fleet Administrator (FA) from time to time will need assistance from other shift leads or drivers to help move vehicles to and from repair shops, maintenance, cleaning, etc.
    • Fleet Administrator (FA) should coordinate with other managers/ops team to determine who will assist, what days, etc. If using unused backup drivers for a few hours or if wanting to have a driver come in for a few hours during an off day (assuming this will not be OT)
    • Fleet Administrator (FA) should coordinate with Operational team and Owners to accommodate.
    • Assist as needed with any other assigned task

    Required Skills

    • Industry experience in Fleet / Auto role with knowledge of common vehicle aspects
    • Proven work experience as a supervisor/manager (10 direct reports)
    • Hands-on experience with leadership and team management (staffing, scheduling, disciplinary actions/coaching, etc.)
    • Ability to organize skills assessment centers (in tray activities, work samples, psychometric and IQ/EQ tests, etc.)
    • Familiarity with technology databases, Customer relationship management (CRM), tracking portals, and Microsoft Suite
    • Excellent communication and interpersonal skills
    • Strong decision-making and problem-solving skills
    • Ability to remain composed and in control regardless of conditions including fast-paced & stressful situations
    • Knowledge of modern smartphone technology and the ability to use, trouble shoot and teach
    • Satisfactory ability to safely operate company vehicle effectively in any scenario
    • Ability to lift, push, pull, etc. up to 50lbs.
    • Dress appropriately and modestly for the work environment
    • Maintain a regular work schedule and attendance with reliable transportation and childcare
