    Description

    The F&B Purchasing and Receiving Clerk is responsible for ensuring that all food, beverage, and non-food deliveries are received, inspected, and meet department standards and par levels while maintaining an effective filing system for F&B purchases.  They communicate clearly and professionally about delivery status of orders, conduct inventories on all storerooms and coolers to ensure adequate supplies for WSCE, and promptly review and fill all F&B requisitions. They work with the Purchasing Manager to coordinate receiving activities and Accounts Payable to ensure proper processing of invoices.

     

    Qualifications


    • Assists the F&B department operations in all aspects of purchasing and receiving supplies of all types including stocking, rotating, and organizing Food and Beverage storerooms, refrigerators, and freezers.
    • Ensures that all F&B orders are submitted to the vendor/supplier in a timely manner.  Completes all supporting spreadsheets.  Tracks, verifies, and resolves all discrepancies.
    • Ensures that all invoices are properly entered into the Food-Track system and filed with the attached receiving invoice.
    • Inspects all items received for the F&B department, ensuring that every order received meets WSCE’s standards.  Ensures that the delivery matches the items ordered.  Documents all discrepancies thoroughly.
    • Under the direction of the F&B Director and Executive Chef, verifies all documentation, researching products and suppliers, submits orders, and provides information and assistance to the F&B department.
    • Provides current inventories and standard par levels for those F&B departments that need them along with current pricing information.
    • Participates in monthly inventories. Works with F&B operations to reduce loss through spoilage, damage, and theft.
    • Participates in receiving deliveries, including signing for products received, verifying the actual physical count of each item, and adjusting the vendor packing slip/invoice (if required) so that it properly reflects all products received.
    • Ensures that the Receiving Log and all receiving documentation is sent to Accounts Payable each workday.
    • Ensures that all goods received are stored in the appropriate location.
    • Develops and maintains a comprehensive understanding of the purchasing software application (Food-Track, Sysco, US Foods, and others) used by the Warm Springs Casino Enterprises. 
    • Adheres strictly to Health Code Standards and Polices regarding food service, cleaning, and sanitation.
    • Responds courteously, efficiently, and accurately to complaints and concerns.
    • Assists internal departments as needed with the highest level of professionalism and integrity while providing excellent service and support.  Must always maintain confidentiality.
    • Always adheres to all regulatory, company, and departmental regulations, policies, and procedures.
    • Will perform other duties as assigned.
    • Education, Qualifications and Experience:

       

    • High School Diploma or GED preferred.
    • One (1) year of related experience preferred. Food handling experience desired.
    • Knowledge of casino/hospitality or restaurant operations preferred.
    • Knowledge of inventory methods and practices preferred.
    • Must demonstrate a positive attitude and professional demeanor, with the ability to effectively communicate with vendors, leadership, and peers.
    • Computer skills required; must be proficient in spreadsheets, reports, and internet searches for researching products and suppliers.
    • Must have good organizational skills and attention to detail with the ability to multi-task.
    • Must be able to understand and work with detailed financial information, data, and basic math functions.
    • Food Handler’s Card required.
    • Requires a flexible schedule in order to work varied shifts based on business needs.  Will also work nights, weekends, and holidays as needed.
    • Competencies:

    • Excellent communications skills are essential.  This includes verbal, written, and listening skills.  Must be able to communicate effectively with all levels of personnel, management, vendors, and guests while providing excellent service to internal and external customers.  Must maintain strict confidentiality.
    • Must establish and maintain excellent working relationships with representatives of all departments, regulators, outside auditors, and/or vendors.
    • Must work effectively and efficiently with limited supervision.
    • Must have excellent attention to detail and the ability to complete work in a timely, accurate, and organized manner and must have skills in solving practical problems and dealing effectively with situations where only limited standardization exists.

    Physical Demands:

    • Lifting and carrying is required.  Lifting items weighing as much as 60 pounds are required.
    • This position requires reaching, manipulating and keyboard operation (typing).
    • This position requires sitting, stooping, standing, bending, pushing, pulling, and walking.

     

    Working Conditions:

    • This job is typically performed under reasonably good working conditions; disagreeable elements are generally absent during normal job performance.  The position requires working in areas where the noise level is high, working with sharp objects and where there are high temperatures while performing intense, complex, and very involved tasks at a fast pace.
    • Must observe and comply with all safety regulations and procedures, including the use of all safety equipment provided.  Must always practice safety.
    • Must adhere to WSCE’s attendance standards by reporting to work as scheduled, must always be punctual, and must work all scheduled hours including overtime.
    • Must have knowledge and be able to work safely with a variety of tools and equipment including, but not limited to knives, choppers, blenders, band saws, meat grinders, deep fryers, griddles, till fryers, toasters, scales, can openers, range tops, broilers, coffee machines, convection ovens, steam tables and various refrigerators and freezers.

    Special Requirements:

    • Must maintain a valid Oregon driver’s license.
    • Must be 21 years of age or older.
    • Must submit to and pass a drug/alcohol screening test.
    • Must submit to and pass an Oregon State background investigation.
    • Must work nights, weekends and holidays as needed.
