SCOPE OF RESPONSIBILITY: The Foreclosure Clerk has overall responsibility for assisting in document production with respect to real estate post-closing matters. Incumbent shall operate from established Firm procedures with moderate supervision.
ESSENTIAL DUTES AND RESPONSIBILITIES: “Essential functions” are primarily job duties that incumbents must be able to perform unassisted or with some reasonable accommodation made by the Firm.
1. Type and proofread documentation with respect to the maintenance of and closing of real estate files, including forms, correspondence and other miscellaneous documents required with respect to post-closing duties. Proper proofreading of documents and correspondence to ensure accuracy, proper grammar and punctuation, consistency and syntax.
2. Conduct external calls to various agencies including governmental entities and financial institutions to request information and documentation necessary for post-closing files including deeds, recording documents, titles, etc.
3. Answer internal and external calls promptly, conveying a professional image to internal and external clients.
4. Use of various office equipment and procedures including the use of computers, photocopiers and fax equipment to ensure accurate reproduction of documents, scanning of documents, mailings and deliveries.
5. Various general office duties including, but not limited to paying invoices, filing, etc.
6. Assist the assigned attorney/paralegals and work with other staff within the Firm in performing other responsibilities as may be necessary from time to time to ensure the best possible support is provided to the Firm’s clients and the smooth and efficient operation of the Department and the Firm.
KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:
1. Ability to work independently, ability to grasp the big picture and operate within this context.
2. Proficiency with Microsoft Outlook and Word; experience in document preparation and revisions.
3. Strong organizational abilities; ability to prioritize and handle large volume of work efficiently.
4. Experience in real estate closing matters.
5. Good math abilities.
6. Strong verbal and written communication skills; sensitivity to confidentiality; self confidence; positive presentation; ability to maintain a regular and dependable attendance schedule.
7. Ability to establish effective working relationships throughout operational groups.
EDUCATION/EXPERIENCE: Associates degree or equivalent years of quality experience required. Law firm experience preferred with knowledge of operations (opening/closing files, work flow, court processes).
