Ministry Function

The Convoy of Hope Foundation Coordinator supports the ministry of Convoy of Hope by supporting core fundraising initiatives within the Foundation, including managing various aspects of Hope Society and the Foundation Donor Advised Fund.

Essential Duties & Responsibilities

• Provides Guest of Honor experience to donors who are interacting with the Convoy of Hope Foundation.
• Assist the Convoy of Hope Foundation team in scheduling meetings with donors and various working groups within Convoy of Hope.
• Assists with project preparation such as meeting preparation, slide presentations, agendas, meeting minutes, and Salesforce documentation.
• Provides follow-up reminders for actionable items as appropriate.
• Coordinates resources to donors who have indicated interest in innovative giving through the Convoy of Hope website or events.
• Sends thank you letters, gifts, notes, marketing kits, invites to events, and acknowledgement of donor involvement with recognition of legacy gifts and beyond.
• Keeps Hope Society assets current at events and for distribution to donors and Convoy of Hope ambassadors and advisors.
• Responds to inquiries or requests related to donor advised funds.
• Ensures all donor advised fund transactions are finalized in an accurate and timely manner.
• Establishes new donor advised funds including online set up, related paperwork, fund agreements, and donor preferences.
• Processes grant recommendations from donor advised funds, liaising with grant recipients and ensuring compliance with donor intentions.
• Ensures reporting accuracy with fund administrator and Convoy of Hope Finance team members.

Required Knowledge, Skills & Abilities

• A bachelor’s degree in business or related field is preferred; a high school diploma or equivalent is required.
• Two years of experience in customer service or office management is required.
• Proficient in computer programs such as Microsoft Office Suite, Adobe Acrobat, Zoom video conferencing, and customer relationship management (CRM) software suites and project management software.
• Excellent communication skills, both written and verbal, with the ability to effectively engage with high-net worth donors and colleagues at all levels.
• Manages multiple projects and processes simultaneously while remaining detail-oriented.
• Works independently while collaborating alongside a fast-paced team with staff and leadership who travel frequently or work remotely.
• Demonstrates commitment to maintaining confidentiality and integrity in handling donor information.
• Attends and actively participates in Convoy of Hope At Home Week meetings and activities as a required responsibility to the organization and fellow team members.
• Serves as an advocate for the ministry, striving to nurture, broaden, and develop financial and other resource opportunities to support and expand organizational and program ministry.
• Positively represents the ministry of Convoy of Hope, including its mission statement and core values, to all outside constituencies.
• As a Christian organization, Convoy of Hope believes it is critical that team members embrace the organization's religious purposes for which it exists and not only agree with its Statement of Faith but demonstrate it in their lives on an ongoing basis.
