Job Title: Administrative Assistant **
Reports to: Chief Finance Officer
PURPOSE: Prevention Links’ mission is to foster healthy, sustainable communities by empowering people through education, collaboration, and by serving as a linkage to resources. The Administrative Assistant is a member of Prevention Links Administrative Team that advances the mission of the organization by providing varied administrative support to the executive, HR, finance, development, and program operations functions. The Administrative Assistant ensures that work order flows are managed in accordance with the needs of the organization, supporting the vision of Prevention Links. The Administrative Assistant works with a diverse group of important external stakeholders as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize, and organize a diversified workload.
POSITION RESPONSIBILITIES:
Administrative Support:
1. Provides administrative support to ensure efficient Prevention Links’ operations.
2. Answers phone calls and directs callers to appropriate personnel
3. Manages calendars for senior staff, including making travel arrangements.
4. Reviews purchase orders and completes purchasing transactions.
5. Responds to emails and other digital queries and correspondence.
6. Drafts and edits letters, reports, and other documents.
7. Inputs and updates information in databases and spreadsheets.
8. Prepares meeting agendas and takes meeting minutes as needed.
9. Coordinates logistics for meetings, including room setup and catering.
10. Completes miscellaneous tasks including copying, faxing, check requests, expense reports, ordering supplies, internet research, bookkeeping, data entry, and other administrative duties as requested by the Executive Leadership team.
11. Runs errands as needed, such as picking up supplies, delivering documents, or handling other off-site tasks to support organizational needs.
12. Ensures that the office presents a positive and professional image for the organization.
13. Handles all Agency business in a confidential matter.
14. Performs other duties as assigned.
Filing and Organization:
1. Maintains Prevention Links’ physical and digital filing systems.
2. Establishes and maintains backup source for high-demand items.
3. Assesses inventory reports and order patterns to identify items in need of automatic, recurring delivery.
4. Provides inventory reports to purchasing and inventory control manager.
5. Develops and maintains good working relationships with vendors.
Front Desk and Reception:
1. Monitors the flow of visitors to the organization’s headquarters
2. Answers the door, welcoming guests, and directing them to the appropriate location.
3. Signs for incoming packages

EDUCATION AND EXPERIENCE:
· High School Diploma required, Associates degree preferred

TRAVEL: Domestic travel may be required for this position. Frequent local, independent travel between Prevention Links offices and other locations is required.
EVENING AND WEEKEND AVAILABILITY: There is limited but occasional evenings and weekend work required during periods of high volume.
HOURS PER WEEK: 35 Hours/ Week, Salary, Exempt
