Job Overview:
We are seeking a highly organized and experienced Front Office Manager to oversee the daily operations of our oral surgery office. Nesbitt Oral Surgery is a single provider, independently owned Oral Maxillofacial Surgery practice. Prior dental office and management experience are required. Thorough knowledge of dental-related insurance required, OMS specific experience preferred.
The Front Office Manager will be responsible for supervising, training and developing the front office team and reinforcing a patient-centered culture. This individual will be responsible for overseeing the practice schedule and managing teammate schedules to efficiently utilize resources. The ideal candidate will have a strong background in medical office management, possess excellent communication skills, and be knowledgeable in medical terminology.
In addition to managing the front office team, this individual will be a point of escalation on all patient, referral or staff concerns and should be able to de-escalate issues, think critically and solve problems.
Responsibilities:
- Supervise, coach, provide feedback and develop front office staff
- Ensure overall smooth and efficient operation of the front office, including handoffs between the front office and clinical teams
- Oversee patient scheduling, ensuring optimal utilization of appointment slots
- Oversee medical records management, including proper documentation, HIPPA compliance and recordkeeping
- Coordinate with staff to ensure timely and accurate completion of patient paperwork
-Cover any front desk operations, as needed (scheduling, answering phones/emails, billing and insurance)
- Monitor and manage office supplies inventory
- Implement and enforce office policies, processes and procedures
- Handle patient inquiries and complaints in a professional and timely manner
- Oversee billing to ensure accurate billing and collection processes and drive AR
Qualifications:
- Previous experience in a supervisory role in a dental office setting
- Strong knowledge of dental/oral surgery terminology and procedures
- Familiarity with practice management principles
- Proficient in Microsoft Office Suite (Word, Excel, Outlook)
- Excellent organizational and multitasking skills
- Strong attention to detail
-Previous dental or oral surgery front office experience
Prior dental and/or medical billing experience
- Exceptional communication and interpersonal skills
- Experience with DSN software preferred, but willing to train
