    S ummary:

    Coordinates the administrative operations of the Graduate Medical Education Office (GME) and the services it provides to residents, fellows, rotators, observers, medical students, residency/fellowship programs, and employees of the hospital system. Executes all administrative processes necessary to maintain The MetroHealth System’s accredited status with various educational, federal, and local accreditation bodies. Guides all medical education learners through The MetroHealth System’s educational process. Demonstrates professionalism, problem-solving, results oriented work habits, and decision making regarding day-to-day residency, student, and fellowship issues. Upholds the mission, vision, values, and customer service standards of The MetroHealth System.
    Responsibilities:

    1. Processes all students, affiliate, and observer applications.

    2. Coordinates activities for students at The MetroHealth System, including medical students, advanced practice nursing students, physician assistant students, anesthesia assistant students, bioethics students, podiatry students, student observers, and other students as assigned.

    3. Maintains the student course selection catalog.

    4. Maintains data for reports on all students, affiliate, and observer activities; produces reports as needed.

    5. Maintains all computer databases in an accurate and timely manner for all students, affiliate, and observer applications.

    6. Assists with all aspects of new resident orientation.

    7. Plans, organizes, and schedules weekly student orientations; ensures that all students have appropriate ID badging and security access.

    8. Ensures that all residents, fellows, and affiliates of The MetroHealth System maintain active licenses as required.

    9. Acts as the gatekeeper for all institutional affiliation agreements and medical education contracts.

    10. Completes proper clearance and/or program completion documents for students, residents, and affiliates to ensure compliance with all accrediting agency and MetroHealth System requirements.

    11. Develops and maintains all resident and medical student recruiting materials; participates in recruitment activities as assigned.

    12. Serves as a general informational resource for the GME.

    13. Acts as liaison to medical schools, other health care institutions, and accrediting agencies as assigned.

    14. Oversees evaluation assignments and assists with delinquent evaluations; initiates appropriate department-specific actions as needed.

    15. Participates in GME-associated committees as assigned.

    16. Supports the Resident Association House Officers’ Association Committee as assigned.

    17. Performs a variety of clerical functions to support the responsibilities of the position and other GME projects.

    18. Enhances professional growth and development through participation in continuing education courses, professional organizations, seminars/workshops, reading current literature, and/or maintaining professional contacts in the community; monitors and assesses the appropriateness of emerging trends/strategies, and adopting techniques as deemed appropriate.

    19. Incorporates principles of teamwork in the resolution, completion, and follow-up of responsibilities.
    Qualifications:

    Required:
    Meets one of the following:
    • Associate degree in Education or other related field, AND 1 year of experience supporting and/or coordinating medical student/resident programs or other training education programs.
    • High School Diploma or passage of a high school equivalency exam, AND 3 years of experience supporting and/or coordinating medical student/resident programs or other training education programs.
    Demonstrated proficiency with Microsoft Office products.
    Proficient in multi-tasking, problem-solving, prioritizing work, organizing, and planning.
    Strong written, verbal, and interpersonal communication skills.
    Ability to work in a fast-paced environment, requiring high mobility and physical activity.
    Adaptability and flexibility to changes in work environment.
    Available to work occasional weekends and evenings as needed.

    Preferred:
    Bachelor’s Degree in Education or other related field.
    Knowledge of applications and processes relevant to residency programs (e.g., databases, resident application services, resident matching programs, resident licensure, and accrediting bodies such as the Accreditation Council for Graduate Medical Education (ACGME), The Joint Commission (TJC), the Occupational Safety and Health Administration (OSHA), and/or other discipline-specific accrediting and regulatory bodies.
    Knowledge of institution-specific accreditation requirements.
    Proficiency with content management systems.
    Possess a current Notary Public Commission.

    Physical Requirements:
    May sit, stand, stoop, bend, and ambulate intermittently during the day.
    May need to sit or stand for extended periods.
    See in the normal visual range with or without correction.
    Hear in the normal audio range with or without correction.
    Finger dexterity to operate office equipment required.
    May need to lift up to twenty-five (25) pounds on occasion.
    Ability to communicate in face-to-face, phone, email, and other communications.
    Ability to see computer monitor and departmental documents.
