Grants Administrator administers the financial control processes of grant activity throughout the grant lifecycle for awarded or received grants to ensure compliance with grant provisions, regulations, standards, timelines, and reporting requirements. Monitors grantee management and disbursement of funds and reviews grantee programs for compliance with the terms of grants. Being a Grants Administrator prepares and submits financial reporting and performs accounting tasks related to managing grant funding received. Tracks and reconciles grant account budgets and expenses. Additionally, Grants Administrator submits any additional information or documentation required by the grant funder. Follows grant accounting best practices and complies with legal regulations. Requires a bachelor's degree. Typically reports to a manager. The Grants Administrator work is generally independent and collaborative in nature. Contributes to moderately complex aspects of a project.     AbbeHealth Services - is a regional nonprofit organization dedicated to providing mental health and aging services that help individuals achieve their optimum levels of independence and success.

    Perform business office/finance department functions to include: grant budgeting, budget monitoring, and maintaining grant policy. Analyze data necessary for maximizing grants and contract billings and ensuring program compliance. Analyzes monthly journal entries and review of financial statements ensure accurate and timely financial reporting. Preparation of periodic reports to grant funding agencies, and other projects as assigned.

    Responsibilities

    Grant & Accounting/Finance Related Functions

    • Develop finance policies as required by grant-funding agency (SAMHSA, for example)
    • Maintain grant budget, keep up to date records to compare expenditures to budgeted amount
    • Assess the need to submit a modified budget when appropriate
    • Develop and maintain effective working relationships with grant personnel, providers, and other affiliates of AbbeHealth
    • Prepare and submit various grant reports in accordance with applicable deadlines
    • Complete the billing to grant-funding agency, ensuring no other payment source has funded same service/activity
    • Coordinate the activities related to compliance reviews and monitoring visits from regulatory agencies and funding bodies
    • Provide materials as necessary for year-end financial audit
    • Coordinate year-end procedures regarding accounting
    • Ensure necessary reports are filed to maintain compliance (Federal Audit Clearinghouse, for example)

    Reporting/Analysis

    • Prepare monthly, quarterly and annual financial reports as requested
    • Maintain files of grant expenditures with all documentation required, in a manner and location that is accessible to other grant management staff
    • Provide reports to key staff to show progress of expenditures to budget
    • Maintain files for statistical reports for all agencies (reports may be prepared by others); understand the relationship between services and revenue, costs, and detect discrepancies
    • Evaluate the need for statistics gathered and make recommendations to improve process or to improve the information gathered

    Other

    • Assist Executive Director of Finance with special projects as needed
    • Assist with development of and maintain finance/business office policies and procedures
    • Evaluate internal processes and make recommendations for greater efficiency, and assist in maintaining internal controls and conducting internal audits
    • Provide technical support on software for other staff when needed.
    • Other related duties and projects as assigned

    Basic UPH Performance Criteria

    • Employee maintains current licenses and/or certifications required for the position.
    • Practices and reflects knowledge of HIPAA, TJC, DNV, OSHA and other federal/state regulatory agencies guiding healthcare.
    • Completes all annual education and competency requirements within the calendar year.
    • Is knowledgeable of hospital and department compliance requirements for federally funded healthcare programs (e.g. Medicare and Medicaid) regarding fraud, waste and abuse. Brings any questions or concerns regarding compliance to the immediate attention of hospital administrative staff. Takes appropriate action on concerns reported by department staff related to compliance.
