Grants Administrator administers the financial control processes of grant activity throughout the grant lifecycle for awarded or received grants to ensure compliance with grant provisions, regulations, standards, timelines, and reporting requirements. Monitors grantee management and disbursement of funds and reviews grantee programs for compliance with the terms of grants. Being a Grants Administrator prepares and submits financial reporting and performs accounting tasks related to managing grant funding received. Tracks and reconciles grant account budgets and expenses. Additionally, Grants Administrator submits any additional information or documentation required by the grant funder. Follows grant accounting best practices and complies with legal regulations. Requires a bachelor's degree. Typically reports to a manager. The Grants Administrator work is generally independent and collaborative in nature. Contributes to moderately complex aspects of a project.     JOB SUMMARY: Under the direction of the Director of Development, the Director of Grants is responsible for planning and implementing a university wide program of cultivation and solicitation for grant making organizations, to include foundations, governments, organizations, corporations, and others.

    Major Responsibilities/Activities
    ESSENTIAL FUNCTIONS:

    • In collaboration with the Vice President for Institutional Advancement (VPIA) implement the Strategic Development Plan of the University of Saint Francis by assisting in the planning and implementation of annual goals and the work program of Institutional Advancement.
    • Compile information on foundations, federal, state, and local agencies, and other potential funding entities for the institution; maintain accurate and current active files on all prospects.
    • Seek sources of funds whose stated interests, guidelines, and patterns of support show that they are viable prospects for the institution generally or for specific projects.
    • Establish a system of regular personal interactions with the professional staff of foundations, representatives of family foundations; set goals for face-to-face visits.
    • Organize regular visits to the institution by foundation leaders who may be potential funders.
    • Write, edit, and submit proposals appropriate both to the interests and priorities of the institution and those of the funding sources; work with others within the institution to refine, improve and finalize the proposals.
    • Provide funding sources with all information and reports required in the support of a proposal or grant, including arranging site and follow-up reports after a grant has been received; complete this in a timely manner.
    • Maintain log of all proposals submitted, and future proposals to be submitted; plan and manage follow-up actions as needed and monitor required procedures to be completed.
    • Maintain a master calendar of dates established and announced by foundations and granting agencies, including proposal deadline dates, board meeting dates, etc.
    • Keep abreast of trends in the field of development and grantmaking.
    • As a member of the institutional advancement team, assist with major gift calls, as needed.
    • The Director of Grants works closely with all members of the institutional advancement staff and the employees of the institution involved with special programs funded by outside sources.
    • Communicate both verbally and in writing with various university constituents including administrators, employees (staff and faculty), students, and community members.
    • Attends in-services as directed to update knowledge and skills.
    • Adheres to University of Saint Francis and departmental Quality Service Standards and Expectations.
    • Participates in various community and professional organizations as a representative of the university.
    • Performs other duties as required.

    MINIMUM QUALIFICATIONS

    Education

    • Bachelor’s degree required; master’s degree preferred.

    Experience

    • Grant writing experience in a higher-education setting preferred
    • Previous work experience in Development/Advancement preferred

    • Must be highly motivated and a self-starter.

    • Must be able to implement university plans.
    • Demonstrates skills in the use of computer programs particularly word processing, database management, communications and spreadsheet programs.
    • Must be, and remain, insurable for driving by the university’s automobile insurance company without additional premiums.
