Reports to: VP of Philanthropy
SUMMARY
Reporting to the Vice President of Philanthropy, the Associate Director of Database and Grants manages Children First's donor database system, Blackbaud Raiser's Edge, including but not limited to:
- Information Access

This position requires the exercise of judgment and discretion. He/she assists and supports all fundraising initiatives, public relations, and events as necessary. As part of the Grants Administration, he/she will develop, execute, and monitor non-governmental grants. He/she will also promote the community image of Children First. Work is reviewed through regular coaching, feedback, and annual evaluations with the supervisor.
Day to Day Responsibilities

- Develops, manages, and maintains the Blackbaud donor-based software system for Children First.
- Maintains a professional, respectful, and pleasant tone in communications with all colleagues, donors, and volunteers
- Administrate user rights, access, and passwords and keep them in a shared file
- Develops, manages, and implements business processes for data entry, data retrieval, and systems procedure development
- Add new major event constituents, maintain tracking and coding
- Processes and receipts of all donations daily with accuracy
- Prepares donation deposits daily for delivery to the Office Manager
- Receives all donation correspondence and determines the process for direct mail returns
- Reconciles all donations against appropriate campaign and appeal codes
- Updates all donor records from information received via appeal mail returns and online transactions
- Ensure the accuracy of database entries by other authorized users
- Processes and manages EFT, staff giving, United Way, Benevity, and matching gifts programs
- Respond to donor inquiries and process phone donations
- Create and develop reports, new queries, strategies for mailings, and organized lists for mailings
- Develop a systematic routine for database cleaning and purging
- Ensure that the privacy and confidentiality of donor record access is secured and restricted to relevant personnel
- Participates in continued education and training in database management, Blackbaud Raiser's Edge, and donor research
- Conduct donor research for the VP of Philanthropy
2. Role in non-governmental grants
- In coordination with the VP of Philanthropy and other team members, develop and execute materials to complete grant applications and grant reports-includes ability to write grants and grant reports
- Monitor grant status, track expenditures, and maintain deadlines
- Coordinate with Consultant, Program Staff, and Operations Staff on grants
- Ensure the VP of Philanthropy is apprised of the status of all grants – application, income, expenditures, progress toward grant purpose, interim and final reports
- Work with the VP of Philanthropy to coordinate staff speaking and attendance at grant award ceremonies
3. Assists in the stewardship of donor gifts.
- Process all donor gifts timely and accurately
- Create and send prompt (within two days of receipt of the gift) acknowledgment letters for all gifts received
- Respond to donor inquiries regarding payments
- Maintain records for pledged gifts sponsorships and send timely invoices for payment
- Assists the Philanthropy Department with special projects, major events, special events, and donor cultivation.
- Support RSVPs for major events as needed – keep up-to-date, accurate records
- Track event participation in donor management software
- Assist with determining annual tax-deductible amounts
- Acknowledge sponsors and donors of Auction items
- Assist with confirmation of event sponsorship, underwriting, donations, and sponsor requests
- Ensure respectful and pleasant interactions with all donors and guests
- Support facilitation on the day of events
- Assist with donor cultivation through tours, thank you notes, and other stewardship activities
- Track individual and group tours and external cultivation activities
- Accept RSVPs for special events and cultivation events as needed – keep up-to-date accurate records
- Maintain supply inventory to support all philanthropy mailings and activities
- Other duties as assigned.

Requirements:Licenses / Certifications
- Valid Driver's License and acceptable driving record required– or access to transportation for site visits.
- Immediate/continued enrollment in the Criminal History Registry-Child Care Division.
- Current Health Appraisal updated every two (2) years
- Bachelor's degree preferred.
- Development professional with three-plus years of experience managing databases (Blackbaud Raiser's Edge preferred) in a nonprofit environment.
- Experience in writing and securing non-governmental grants
Knowledge of:
- Principles and practices of donor-based research and fundraising.
- Community resources available and where to find them.
Ability to:

Physical / Mental Demands
- Lifts and/or moves up to 50 lbs.
- Kneels, stoops, bends, reaches, stands, and sits on floor to attend to children's or philanthropy department needs
- Sitting, for working at keyboard and desk, standing, driving for site visits, meetings, and events
- Use manual dexterity, reach with hands and arms, stretch, type, and talk or hear.
- Respond both physically and mentally to emergency or crisis situations.
Environmental Conditions:
- Experience variability in temperature, environment, and noise.
- Experience smells associated with toileting and children who are ill.
- Encounter children who are ill and/or possibly contagious.
- This position requires the ability to withstand strain and stress to meet deadlines and other pressures. It also requires the ability to lift and carry boxes of materials for meetings and events on occasion. Use of a personal car on official business travel may be required. A valid Florida driver's license and proof of insurance are required. Some work on evenings and weekends will be required as needed for events.
