Job Summary:

The Document Preparation Specialist plays a crucial role in ensuring the efficient and organized handling of documents within the organization. This position involves various tasks related to document management, including sorting, scanning, and preparing documents for storage or distribution.

Key Responsibilities:

Document Sorting: Sort incoming documents according to established criteria.

Scanning and Digitization: Operate scanning equipment to create digital copies of physical documents. Ensure the accuracy and quality of scanned documents.

Indexing and Data Entry: Accurately index digital documents, adding metadata or relevant information to facilitate easy retrieval. Perform data entry tasks as required.

Quality Control: Review scanned documents for errors, missing pages, or image quality issues and make necessary corrections.

Document Preparation: Prepare documents for storage or distribution by removing staples, paper clips, or other fasteners, and ensuring they are organized and ready for use.

Confidentiality: Adhere to strict confidentiality protocols when handling sensitive or confidential documents.

Compliance: Ensure compliance with company policies and relevant regulations regarding document management and retention.

Qualifications:

• High school diploma or equivalent (Additional education or certification in document management is a plus).
• Previous experience in document preparation, scanning, or similar roles is preferred.
• Familiarity with document management software and scanning equipment.
• Attention to detail and strong organizational skills.
• Proficiency in data entry and basic computer applications.
• Ability to work independently and as part of a team.
• Strong communication and interpersonal skills.
• Knowledge of document retention policies and data privacy regulations (e.g., HIPAA) is a plus.

Job Type: Full-time

Pay: From $15.00 per hour

Expected hours: 40 per week
