Position: Office Technical Specialist

Job Description:
As an Office Technical Specialist at Complete Design, you will serve as the backbone of our operations, responsible for helping with various administrative and managerial tasks that keep our office running efficiently. You will collaborate closely with our team members, clients, and vendors to create a positive and productive work environment. Your organizational prowess, attention to detail will contribute to the success of our projects and the overall well-being of our team.
Responsibilities:
· Manage incoming calls and correspondence, redirecting inquiries as needed
· Handle accounts payable and receivable, including invoicing and payment processing.
· Track expenses and maintain financial records.
· Generate estimates and compile contracts.
· Create submitals for RFQ's (Request for Qualifications).
· Assemble project folders and maintain organized documentation.
· Manage conference rooms, scheduling appointments, and coordinating meetings.
· Maintain office and field supplies inventory.
· Ensure a welcoming and professional atmosphere for clients and visitors.
· Review professional technical and legal land use documents for errors and provide feedback.
Qualifications:
· Bachelor's degree in Business Administration, Management, or a related field preferred.
· Proven experience in office management, administration, or related roles.
· Proficiency in Microsoft Office Suite (Word, Excel, Outlook), QuickBooks and office management software.
· Strong organizational and multitasking skills with a keen attention to detail.
· Excellent communication and interpersonal abilities.
· Ability to work collaboratively in a team environment.
· Problem-solving skills and the ability to adapt to changing priorities.
