Job Summary:
We are seeking a reliable and professional Front Desk Receptionist to join our team. The ideal candidate will be the first point of contact for tenants, visitors, and vendors, providing outstanding customer service and administrative support. This role will primarily be responsible for managing the front desk operations at both commercial and multifamily properties.
Duties:
- 1. Greet and assist tenants, visitors, and vendors in a courteous and professional manner.
2. Answer incoming calls, route them to appropriate individuals, and send accurate messages when necessary.
3. Manage and maintain the reception area, always ensuring cleanliness and organization.
4. Receive and distribute mail and packages to tenants and staff.
5. Assist with scheduling appointments, meetings, and conference room reservations.
6. Maintain accurate records of visitor logs, deliveries, and other relevant information.
7. Monitor and grant access to the secured entrance of the company.
8. Assist property managers and leasing agents with administrative tasks as needed.
9. Handle inquiries and requests from tenants regarding maintenance issues, lease agreements, and other property-related matters. Handle customer complaints or concerns with tact and professionalism, escalating issues as needed.
10. Update and maintain employee directories, contact lists, supply inventory list, and property keys check out list.
11. Adhere to company policies and procedures, ensuring compliance with all applicable regulations.
12. Assist with special projects and tasks as assigned by management. All duties as assigned.
Experience:
- Proven experience as a Front Desk Receptionist or similar role
- Proficient in using Microsoft 365
- Excellent phone etiquette with strong verbal communication skills
- Strong organizational and multitasking abilities
- Ability to handle confidential information with discretion
- Experience in office management tasks is a plus
