Position Summary:

The Group Sales and Events Coordinator will provide support to the Group Sales Manager to facilitate group and student tours and venue rentals while delivering a high-quality customer service experience for all guests. They will assist with group tour and private venue event execution, coordination of welcoming motor coaches, logistics of trade shows and community events, attend weekly Group Tours and Operations meetings, professionally represent the National Comedy Center and Lucy Desi Museum.

Essential Duties/Responsibilities:

• Provide on-site support and museum assistance for the execution of all group, student, and private venue events; open and close the museums in the absence of Team Leaders.
• Follow-up with tour company contacts for any missed pre and post payments or payment concerns before, during, and after visits as needed.
• Coordinate arrival and departure activities, maintain accurate records for all tour requirements, private events, and school groups while managing final counts and timely follow-up for effective planning and scheduling purposes; assist with the support and scheduling for tour guides.
• Coordinate, assist and schedule the set-up and tear-down for the execution of all catering needs with facility team members; manage the linen inventory.
• Assist with logistics for trade shows and community events such as travel arrangements, preparation, and shipping of materials.
• Attend weekly Group Tours and Operations meetings communicating effectively, expressing feedback, contributing to the overall success of the organization.
• General administrative tasks including but not limited to billing and coordination of payments and confirmation of group tour and private event contracts.
• When required, represent the National Comedy Center and the Lucy Desi Museum at relevant trade shows and community events.
• Deliver outstanding customer service to all museum guests.
• Effectively communicate pertinent information about daily activities and events on an on-going basis to all departments as needed.

Required Skills/Abilities:

• Excellent interpersonal, customer service, and verbal communication skills.
• Ability to handle high customer demands in a hospitality environment.
• Exceptional customer service orientation when interacting with external tour operator clients and internal departments.
• Handles various tasks under the pressure of deadlines.
• Ability to work with people from a variety of cultures and maintain an appropriate voice for diverse audiences.
• Ability to work independently as well as part of a team with strong communication and collaboration skills.
• Strong computer skills with the ability to learn POS and other software, including Microsoft products.
• Knowledge of the region.
• Ability to work weekends, evenings and holidays based on reservations and events, flexibility is required.
• Previous experience in food and beverage service (planning and execution) is a plus.

Physical Requirements:

• Must be able to stand for eight hours when needed.
• Must be able to lift 25 pounds at times.
• Must be able to access, navigate, and communicate with each department at the organization’s facilities when necessary.
• Must be able to sit for prolonged periods of time and working on administrative tasks.

Job Type: Full-time

Pay: $30,225.00 - $32,175.00 per hour

Expected hours: 37.5 – 40.0 per week
