The Client Services -Transaction Concierge is to contribute to the expected quality services by providing administrative support for the real estate practice in a professional and efficient manner, which will reflect the company’s commitment to a high standard of quality customer service. Attention to ALL details (big and small) is a top priority of this position.
Supporting a team of real estate professionals, the individual will be required to demonstrate initiative and work as an enthusiastic team member in a courteous, professional, polite manner in accordance with the real estate sales office policy and procedures.
Responsibilities
Client Services – Transaction Concierge is responsible for handling the duties including, but not limited to the following:
Transaction Service:
- Listing new inputs & maintenance, scan listing/offer docs to Google Drive
- Update listing and offer boards
- Enter and monitor contingency deadlines for agents for paid TC Agents
- Request for sale signs to be put up and taken down, act as a liaison between sign installer and office to ensure agents/office are notified properly and promptly of installs/removals of all signs
- Work closely with Agents to process listing and offer transactions accurately and efficiently
- Act as a liaison between the agents, customer/client, lenders, and title company to bring transactions to a successful closing
- Daily maintenance of all transaction files (uploads, open houses, price changes, etc.)
- Conduct a review of Agent files in Dotloop as soon as a listing or offer is generated. Follow up with the Agent immediately with any missing items. After 2 failed attempts to follow up, include the Director of Finance & Operations for assistance
- Inputs all new listings/offers
- Support listing Marketing as needed (Create flyers, postcards, VT, etc.)
- With Broker, create a New Agent Orientation process, maintaining and updating as necessary. Perform the Orientation as required/requested
- Organize folders in Dotloop for efficiency. Ensure all template forms in Dotloop are current revisions
Training:
- Support and assist with office and EXIT orientation for all new sales associates
- Provide at least monthly training on available technology for sales associates
- Introduce new associates to Enhanced Success Training, the calendar and Trello
- Support maintenance and revisions of new agent materials/handouts as required
- Office printer training with agents
- Create monthly training calendar
- Conduct systems onboarding for new agents
- Provide technology training to Agents (how to better utilize Dotloop, email, file folders, etc)
Communication:
- Contact new sellers & new buyers and thank them for using EXIT REALTY SOUTHERN
- Support accurate record maintenance in Promoshop of Purchase Anniversaries for all EXIT buyers
- Make sure Management is advised of the latest news from within the EXIT system or from the local real estate board
- Support all LREC, SWLAR, MLS & EXIT related correspondence distribution to the sales associates
- Provide information to sales associates about annual awards and any other contests for which they might be eligible
- Ensure that all pertinent people are advised when a new sales associate is recruited, for example, staff, affiliates, and fellow agents by sending an interoffice welcoming email
Social Media, Promotion, Marketing & Public Relations:
- Assist with company events, promotions, sponsors, and attendees
General Office:
- Greet valued visitors warmly and make sure they are comfortable; offer beverage
- Call persons waiting for a visitor and book a room to meet in
- Answer phones
- Take and deliver messages, transfer calls, etc
- Ensure the reception area and conference room are tidy (follow opening/closing procedure checklists)
- Collect earnest money from customers/clients
- Sort and distribute mail and faxes
- Answer inquiries about the Company
- Send email/faxes
- Perform basic clerical and filing duties
- Work with Company real estate software program to manage customer database
- Maintain collateral and ensure proper stock is available
- Maintain copy machine function and supplies
- Set up and maintain all files and records to ensure that the system is clear in the event of an illness or absence
- Inform the Broker of anything that may reflect negatively on the EXIT franchise, EXIT International or the EXIT system
- Front desk which will require a complete understanding of the telephone system. This will also require knowledge of the lead routing system
- Have a good understanding of the various job duties to be performed by support staff
- Serve as a back up Accounting Assistant as needed
Qualifications
- Minimum High School Diploma
- Minimum of 2 years of experience in Human Resources, Customer Service, or Management role(s)
- Ability to read, write, and speak the English language
- The physical demands of this job require bending & stooping to file, extended periods of working on the computer, and extended periods of working on the phone.
- Reliable transportation
- Ability to pass a background check and drug test
- Compensation based on experience and opportunities for bonuses.
Preferred Skills
Excellent computer skills, advanced MS Office skills, fast and accurate typing ability, articulate communication skills, professional appearance and demeanor, ability to prioritize, multi-task, and be flexible with changing business needs in a fast-paced team environment, prior Real Estate experience strongly preferred. Louisiana real estate license.
