    Position Title: Director of HR & Operations

    A. SUMMARY

    Is responsible for the communication, interpretation, and administration of policies and procedures. Deals directly with employees and owners to support agency functions such as employee relations, the development of policies and procedures, training and development, incentive plans, performance management, onboarding, and policy implementation. Conducts and develops formal training programs designed to provide employees with the skills, knowledge, and tools necessary to attain both department and agency goals.

    B. ESSENTIAL JOB FUNCTIONS

    • Ensures all employees comply with agency systems and procedures.
    • Manages and administers agency training programs.
    • Ensures agency efficiency through continuous, process-improvement efforts and effective utilization of systems automation.
    • Develops and administers employment policies and procedures and carries out personnel objectives and programs.
    • Communicates all agency issues as a liaison between staff and upper management.
    • Advises senior management on staff-perpetuation planning and development of select staff members.
    • Acts as an in-house expert on all issues relating to Human Resources functions and knows where to locate available resources.
    • Understands business issues and concerns and how they relate to agency personnel.
    • Maintains current organizational chart and job descriptions.
    • Manages the performance evaluation process so that all employees are evaluated within two weeks of review date.
    • Maintains a current employee handbook in compliance with local, state, and federal laws.
    • Manages labor issues as they arise.
    • Develops and implements the affirmative action program throughout the agency.
    • Manages the areas of compensation planning, wage and salary administration, employee benefits, employee relations, and personnel administration.
    • Oversees the payroll function to ensure that employees are paid accurately and on time.
    • Provides guidance and support to managers on employment policies, compensation and benefits issues, development and administration of incentive programs, and recruiting.
    • Works with management and staff to identify training needs.
    • Develops internal and external training programs to meet needs.
    • Monitors continuing education requirements and industry designation completion, ensuring that all employees satisfy their continuing education requirements on a timely basis.
    • Maintains familiarity with job descriptions and performance reviews to identify and coordinate training requirements.
    • Budgets and monitors training expenses as well as monitoring the marketing budget.
    • Participates in developing department, goals and objectives.
    • Participates in administrative staff meetings and attends other meetings and seminars.
    • Performs other duties as requested by management.

    C. KNOWLEDGE, SKILLS, AND ABILITIES

    Excellent understanding of agency workflow and processes. Must be organized with a demonstrated skills for effective verbal and written communication. A high level of familiarity with business operations in a corporate setting is key and candidates should have a strong understanding of agency systems. Ability to motivate staff and management in maintaining high-skill levels.

    D. WORKING CONDITIONS/ENVIRONMENT

    Fast-paced multitasking office environment. Employees are provided a dedicated workstation with basic ergonomic setup features, such as an ergonomic keyboard and mouse, dual monitors, and an adjustable chair. Workstation accommodations and adjustments are provided upon request and evaluation.

    E. PHYSICAL REQUIREMENTS

    Must be physically able to work a minimum of 40 hours per week in the office. The employee is regularly required to see, hear, and project voice well enough without amplification. There is frequent need for the employee to stand, sit, walk, use repetitive small motor activity, use hands and fingers, and reach with hands and arms. The employee is occasionally required to lift and carry up to 30 pounds; to stoop, kneel, crouch, or crawl, and to ascend and descend stairs. This position requires a high-energy level and ability to handle stress-related situations on a daily basis. The employee may be required to drive and travel unaccompanied in diverse weather conditions.

    F. OTHER REQUIREMENTS (PREREQUISITES)

    • A minimum of three years of management experience, preferably in insurance operations.
    • Ability to use a personal computer, calculator, agency automation system, and demonstrate proficiency in various software programs, including but not limited to all Microsoft Office software suite programs.
    • Familiarity with business and financial principles
    • Excellent communication skills
    • Strong excel, financial and basic computation skills
    • Outstanding organizational skills
    • Degree in Business, Operations Management or Human Resources, or related field

    Candidate must satisfactorily complete pre-hire employment assessments and maintain a satisfactory driving record. Candidate may be asked to submit to a drug and/or alcohol screening. A civil and criminal history background check will be performed at the company’s expense. Physical attendance is required at regular and/or mandatory company meetings. Employees are encouraged to pursue relevant professional designations; however, this is not required.
