Help Desk Manager manages the staff and operations of an organization's technical help desk. Ensures team members are trained and coached on effective methods to research, troubleshoot, deliver solutions, and access the current product or technical updates. Being a Help Desk Manager trains the team on the help desk systems and tools to identify, document, track, and resolve reported problems. Identifies and gathers key metrics to analyze the help desk performance and identify problem areas. Additionally, Help Desk Manager monitors and measures service metrics and volume to develop standards, improvements, or changes to workflows and resource allocation. Acts as an escalation point and facilitator for severe, critical, or unique issues. May require a bachelor's degree. Typically reports to a director. The Help Desk Manager manages subordinate staff in the day-to-day performance of their jobs. True first level manager. Ensures that project/department milestones/goals are met and adhering to approved budgets. Has full authority for personnel actions. To be a Help Desk Manager typically requires 5 years experience in the related area as an individual contributor. 1 - 3 years supervisory experience may be required.     Opportunity

    Lead, inspire, and motivate all associates, processes and functions relating to the professional operation of the Front Desk & Guest Services operations to ensure consistent guest service. 

    Specific Responsibilities

    Guest Service

    • Quality monitor team to ensure all guest contact is exercised in a courteous and professional manner.
    • Handle all guest complaints and concerns with poise and professionalism to full resolution and guest satisfaction; while mentoring teams to levels of empowerment that solve guest issues immediately.
    • Take immediate action and follow-through to address or correct problems which guests have encountered, including times when guests are not asking for resolution.
    • Responsible for anticipating guest’s needs and addressing those needs prior to and during a guest’s stay.
    • Responsible for all follow-up on billing questions, credits and/or disputed charges on guest accounts. Understand and become an expert on the property management system as it relates to guests bills and packages.
    • Develop or revise new and existing guest information and materials from conception to use for the purpose of promoting all Hospitality businesses in the most profitable manner.
      Ensure the front desk team has all necessary hotel, H&RE and local information to serve all guest needs.

    Departmental Income

    • Participate in hotel’s yield committee on oversell and occupancy driving strategies.
    • On a continuing basis, monitor and coach Front Desk staff upselling efforts to increase guestroom revenue.
    • Responsible for the accurate posting and adjusting of all guestroom charges by the Front Desk personnel.
    • Responsible for preparing of no-show and cancellation changes daily.
    • Responsible for the accurate completion of the hotel’s night audit.
    • Work operational shifts when business needs dictate to control labor costs.
    • Make needed changes to Micro Market to control inventory and demand for product change out based on guest demands.
    • Ensure appropriate inventory controls in place for bar and have active participation in upsells to improve bar revenue.

    Financial Planning and Departmental Expenses

    • Research and prepare financial budget plan goals for the Front Desk, Micro Market and hotel bar.
    • Ensure payroll expense conform to departmental budgets, and schedules are properly aligned with levels of hotel activities and labor standards.
    • Monitor and control usage of supplies used and inventory levels of Micro Market and hotel bar.
    • Monitor expenses in an effort to keep expenditures down as sales go up.Look for creative solutions to lower supply costs.
    • Make recommendations when applicable for the purchase of equipment that would increase productivity or cause a cost savings.

    Supervision

    • Direct and coach associates to promote and maintain a high level of guest service.
    • Direct and coach coordinators to enhance orientation skills and training capabilities. Make tools available to the coordinators to accomplish this task efficiently and effectively.
    • Monitor associates to ensure they are performing in accordance with policies and standards set forth by Hospitality leadership.
    • Develop staff according to abilities and interests, for promotional consideration and assumption of additional responsibilities.

    Personnel

    • Oversee the interviewing and selection of associates.
    • Oversee and determine when disciplinary actions are required and follow through with those actions.
    • Responsible for making Hotel Manager aware of any situation where associate suspension or termination is under consideration as a disciplinary action.
    • Oversee performance reviews and determine recommendations for merit increases within the guidelines.
    • Responsible for planning of staffing requirements to handle levels of occupancy and requesting increases in staff as they become necessary based on labor standards.
    • Responsible for a knowledgeable and well-informed, well-trained staff on all concepts of businesses, changes and new or revised information, policies or procedures.
    • Ensure effective and regular communications with team including daily pre-shift meetings, daily messages and bringing information back from staff meetings.

    Group Responsibilities

    • Plan and supervise organization and implementation of group luggage handling and/or storage (i.e. labeling and servicing), and execute delivery.
    • Supervise departure luggage procedures.
    • Supervise and implement group amenities.
    • Supervise execution of group transports.
    • Prepare group luggage forms.
    • Prepare and process conference service gratuity forms for luggage handling.
    • Organize and execute unique off-site registration needs.

    Front Office Systems

    • Oversee that current systems are operational and being used to the highest potential. Report and correct any irregularities to the appropriate party and follow-up to make sure that corrections have been made in a timely manner.
    • Suggest new or enhanced systems to make the Front Desk are more efficient.

    Records and Reports

    • Monitor cash reports for overages and shortages. Investigate any discrepancies.
    • Monitor postings of guestroom revenue and investigate any irregularities.
    • Monitor Micro Market sales to inventory to control unforeseen variances.
    • Monitor occupancy forecast to be better able to schedule associates appropriately.

    Miscellaneous Responsibilities and Duties

    • Responsible to follow-through on any other duties as assigned by the Hotel Manager –. Complete special projects as directed.
    • Develop ideas and suggestions for implementation and enhancement of overall guest satisfaction and experience.
    • Operate as a daily Manager on Duty.
    • Ensure efficient and supportive teamwork is displayed with all departments.
