Position Summary

In its Associate Director of Operations (A.D. Ops), Dientes seeks a leader that will further advance Dientes’ philosophy and achievements. The A.D. Ops has oversight of clinic operations in partnership with the EVP of Operations. The A.D. of Ops will supervise and mentor staff including Clinic and Outreach Managers and operations staff and be responsible for the day-to-day achievement of clinic quality and operational goals as well as ensuring the clinic facilities are in good order to achieve patient visit and staff safety goals.

Essential Functions/Responsibilities

Operations

• In conjunction with Clinic Managers, ensure adherence to OSHPD, OSHA, HIPAA, CDC, ADA and DHS regulations including the proper maintenance of medical records.
• Support Clinic Managers to develop annual operating goals and budget assumptions; and to achieve productivity standards through appropriate staffing and scheduling.
• Work closely with Clinic Managers to achieve operational goals (productivity, expenses, etc.)
• Periodically review department (clinical and non-clinical) workflows and support process redesigns as necessary.
• Create and regularly update Standard Operating Procedures throughout the organization.

Quality

• Work closely with Clinic Managers and Lead Dentists to ensure quality metric goals are being met in each clinic.
• Assist in implementation of bi-annual patient satisfaction survey and implement workflows to address results.
• Monitor patient complaints and grievances; take proactive action to increase patient satisfaction and reduce complaints.
• Serves as escalation point for patient issues including patient dismissals.

Staff Satisfaction and Development

• Work closely with Clinic Managers to reduce staff attrition.
• Assist in implementation of bi-annual staff satisfaction survey and work with Clinic Managers to implement action plan.
• Develop/improve training manuals for front and back office and implement in all clinics.
• Work closely with Clinic Managers and HR to design mentor/training program.
• Provide in-house trainings to clinic staff on various topics such as de-escalation techniques and customer service
• Oversee Registered Apprenticeship Program.

Facilities & IT

• Provide input and guidance to facilities staff to maintain facilities and process IT and Dental equipment replacements, repairs, and maintenance.
• Work closely with Clinic Managers to optimize use of facilities and equipment with the goal of increased safety and reduced need for repairs/expenditures. Lead the annual asset and supplies inventory processes.

Other

• Lead special events such as Give Kids a Smile/ Give Seniors a Smile
• Be a change leader in the organization; implement new processes and policies in the clinics with staff satisfaction in mind.
• Participates as a member of the mid-level management team to formulate and implement policies and plans to meet the organization’s short- and long-term objectives.
• Participate in board meetings and annual planning processes as needed.
• Participate in community meetings/coalitions as assigned.
• Manage miscellaneous projects as assigned.

Education and/or Experience

Required:

• 3 years’ experience as a manager in operations, or equivalent role

Preferred:

• Bilingual (Spanish/English)

Job Type: Full-time

Pay: $40.00 - $52.00 per hour

Expected hours: 80 per week
