Housing Choice Voucher Program (Full Time)
This position is for a support person who will assist the staff to provide excellent customer service and
administration of the housing programs and services being administered by Westbrook Housing.
ESSENTIAL FUNCTIONS:
1. Responsible to support the HCV Department through basic office procedures, to include keeping forms
updated, copies ready for use, and creating briefing packets.
2. Responsible for tracking applicants from the time they are taken off the Centralized Waiting List until they
are either made inactive or leased up which includes:
Scheduling briefing and/or help meetings
Running reports to verify initial eligibility; including SBI, EIV, SAVE, etc.
Requesting and tracking verifications and other needed documents
Monitoring vouchers for extension or expirations and keeping that information updated in HAB and
FileVision.
Issuing denial letters and coordinating with the Hearing Officer when an informal review is required.
3. Responsible to assist with annual recertifications to include printing EIVs and mailing packets to clients.
4. Responsible to enter and update application information into the Centralized Waiting List/GoSection8/HAB
and answer questions from applicants.
5. Responsible to select names from the CWL/GoSection8/HAB, when vouchers are to be issued or unit
vacancies occur, based on preferences. The data will be transferred to applicable software, notices/packets
will be prepared, sent, and scanned into FileVision, as required by HUD and WH policy.
6. Responsible to assist “walk-ins” by helping to resolve their needs and/or scheduling appointments for them
to meet with the appropriate staff.
7. Responsible to back up the front office staff, as needed, by filling in as a receptionist to the general public.
8. Responsible to complete tax credit forms and fuel assistance applications, as requested by our clients.
9. Responsible for attending audits, department meetings, and staff meetings.
10. Responsible for other duties as assigned.
REQUIREMENTS OF WORK:
1. Ability to follow directions and to demonstrate excellent organizational, written, and oral communication
skills; outstanding listening skills and patience are a must.
2. Ability to deal in a positive and friendly manner with clients, staff, and the general public.
3. Ability to work as a member of a team.
4. Ability to perform basic office work accurately and handle routine office situations appropriately.
5. Ability to use Microsoft Word, Microsoft Excel, Microsoft Outlook, HAB/MRI, FileVision and any other
computer software as required by the position.
JOB QUALIFICATIONS:
1. Graduation from a standard high school or GED.
2. Ability to write in a professional manner and comprehend written materials.
3. Experience with basic office processes, procedures, and office equipment.
4. Ability to learn new procedures, flexibility to adapt to a variety of work situations.
