  • Overview

    At Mahaska Health the Human Resources Assistant will provide administrative support to the Human Resources department. The HR Assistant will support the team as needed in areas such as hiring and benefit needs. Provide a wide variety of clerical, technical, administrative, and office support duties in support of the Human Resources department.

     

    Hours:

    Monday - Friday 8:00am - 5:00pm

    Responsibilities

    Essential Job Functions:

    • Answers and directs departmental phone calls and emails. Receives and distributes office mail.
    • Makes photocopies, monitors faxes, and performs other clerical functions.
    • Schedules and organizes appointments; takes minutes during departmental meetings.
    • Prepare and maintain new and current employees' personnel files, medical files, and termination files.
    • Keep file cabinets up to date, yearly, box up previous year’s files for storage, and/or shred unnecessary files and material as needed. Keep archives in an orderly condition.
    • Completes Forms I-9, verifies I-9 documentation, and maintains I-9 files.
    • Track and maintain the referral bonus and sign-on bonus spreadsheet, communicate dates and amounts to employees as dates approach.
    • Track and maintain employee badges and assist in the preparation of new hire badges and replacement badges as needed.
    • Maintain the upkeep of permissions and terminated badges as needed.
    • Prepare and maintain monthly distribution lists for birthdays and anniversaries. Including arrangements of any related events.
    • Maintains a copy of current licensure for applicable employees while maintaining the tracking sheet and staying in contact with employees are their expiration dates approach; Email employees and their directors with advanced notice at 60 days, 30 days, and 2 weeks before expiration.
    • Track and monitor 30-day and 90-day performance reviews and yearly evaluations.
    • Update weekly postings of job openings on the bulletin board and MH’s website.
    • Assist in the coordination of company-wide New Hire Orientation for new employees. Includes compiling hiring packets, preparing new hire promotional items and nameplates, and ordering lunch.
    • Assist the Human Resources Supervisor in new hire needs, as needed.
    • Assists in the administration of various employee benefit programs, such as IPERS, group health, flexible spending accounts, dental and vision, accident and disability, life insurance, 401(k), and wellness benefits. Help to maintain records of memberships, designation of beneficiaries, changes, retirement, termination, etc. as needed.
    • Responsible for maintaining the company intranet – Human Resources page.
    • Provide customer service, both in-person and by telephone; answer questions from employees regarding human resources issues, rules, and regulations relating to human resources.
    • Performs necessary housekeeping to help maintain the cleanliness of the department/office.
    • Ability to deal with confidential information.
    • Must be able to perform the physical demands of the job.
    • Maintains regular and reliable attendance. Attend meetings, as requested.
    • All other duties as assigned or requested.

    Qualifications

    Job Requirements:

    • High school diploma, GED or equivalent, college degree preferred.
    • One-year minimum of previous related work experience in Human Resources or equivalent.
    • Must have a strong background in Word, Excel, Windows, and Outlook.
    • Must be able to organize and prioritize work, including working autonomously on assignments/projects.
    • Must be self-motivated and able to work with minimal supervision.
    • Accuracy and attention to detail are a must.
    • Effectively communicate orally and in writing.
    • Develop and maintain good employee relations with facility employees.
    • Must be able to work with all types of people, handle numerous interruptions, and be able to keep issues confidential.
    • Will be required to show proof of having completed Mandatory Reporter course at the time of hire or attend within 6 months of the start date.
    • Must adhere to all training requirements as mandated by Federal, State, and Professional licensure and regulatory standards.
    • Understand and comply with the requirements of MHP’s Compliance Program, including, but not limited to the Code of Conduct, the Compliance Policy, all supporting policies for compliance, and compliance plans affecting specific duties and responsibilities.
    • Participate in all education and training programs regarding compliance as required by Practice policy and as requested by the supervisor.
