SUMMARY
The Human Resources Assistant supports the department with a variety of administrative/clerical tasks including filing, scanning, mail processing, and acting as a clearing house for a broad range of employee requests.

Duties
1. Converts all paper employee files to electronic format by scanning, retrieving the scanned documents and saving to the correct employee file.
2. Open daily mail and scan to appropriate department member or file.
3. Sends bereavement flowers as directed.
4. Reviews I-9 folder for completeness, re-organizes, scans all paper I-9 documents into folder.
5. Manages online employee store.
6. Manages wellness program by coordinating activities and being liaison with health plan.
7. Schedules all pre-employment activities for new hires and tracks completion. Prepares New Hire Checklist for all new hires and communicates status to department.
8. Completes all transactional data entry into ADP including changes to department, supervisor, pay rate. Serves as liaison to ADP for questions related to payroll changes.
9. Processing payroll work-hour data using ADP Workforce Now.
10. Prepares paperwork for monthly service award bonuses.
11. Validates invoices for pre-employment screening and background checks.
12. Prepares report of contractor timecards for agencies and sends weekly. Approves agency invoices for payment and validates against timecard report.
13. Send new hire notifications when needed.
14. Updates ADP Home page as necessary.
15. Answers basic employee questions or forwards question to appropriate department member.

Tasks require walking, sitting, bending, reaching, mobility, frequent lifting and pushing/pulling. Work requires computer skills (word processing, spreadsheet, and data-entry), attention to detail and accuracy. Communication skills including listening and speaking are required for interaction with other employees, vendors, and customers. Strong interpersonal skills, the ability to balance multiple tasks and any stress associated with the duties and responsibilities of this position are essential requirements in the performance of this job.
Secondary duties with added requirements may be assigned from time to time.

General Qualifications
Must be proficient with Microsoft Outlook, Word, Excel and PowerPoint and general office equipment, as well as current video meeting programs. Must demonstrate a high level of detail in the completion of all tasks.
Education and/or Experience
Must be a high school graduate with 1-2 years of general office experience. Prior experience in a Human Resources department or knowledge of Human Resources practices and responsibilities is preferred.
Language Skills
Must be able to communicate in English in both written and spoken form.
Mathematical Skills
Basic math skills required.
Reasoning Ability
Must be able to operate in a fast-paced environment while maintaining a professional approach to work. Must be able to solve practical problems and deal with a variety of factors in situations where there may be limited information. Must be able to work independently.

TOOLS AND/OR EQUIPMENT
Must be able to operate a laptop and general office equipment.
WORK ENVIRONMENT
This position may work in various environments including office, factory or home settings. Employees who are authorized to work from home are expected to comply with all company requirements for core work hours or in-person attendance at company meetings or events.
