Olympia - Human Resources Specialist (Human Resources) 2022-23

  • The Human Resources Specialist reports to the Human Resources Director and serves the Human Resources Office and the Olympia School District as the point of contact for prospective, current and former employees.  The Human Resources Specialist works closely with the Human Resources Department team and provides general clerical support to contract coordinators, communicates information and respond to requests, provides timely and accurate distribution of materials.

    This continuing position works Monday - Friday, 8.0 hours per day, 260 days per year.

    Essential Job Functions:

    • Conduct hiring functions for the District
      • Post job openings on school district website, distribute to schools and various departments
      • Work closely with EdJobsNW to post open positions out of District
      • Assist Human Resources Director with recruitment and hiring processes
      • Assist departments and schools with hiring processes
      • Prepare materials for interviews
      • Maintain job descriptions
    • Assist HR Coordinators with the new employee onboarding process
    • Determine benefit eligibility for current and new employees
      • Attend benefit related trainings
      • Complete SEBB worksheets and employee letters for new hires, employment changes and terminations
      • Run monthly reports to monitor hours for substitutes and current employees for changes in eligibility status
      • Monitor new hire and current employee assignment changes
      • Works closely with Benefits Specialist and HR Coordinators
    • Coordinate new teacher orientation
    • Communicate with the public and employees about human resources topics, serves as back up to the department receptionist
      • Greet visiting employees and the general public; offer guidance/direction as needed
      • Respond to inquiries of employees, public and school district community to provide information and/or direction
      • Respond to calls concerning employment in the OSD
      • Evaluate situations for the purpose of taking appropriate actions and/or directing to appropriate Human Resources staff member for resolution
      • Prepare notices related to reemployment and other employee notifications
    • Fill in for breaks and lunch coverage at the District Office reception desk as needed
      • Answer the district office main line, transfer calls to the appropriate department
      • Implement protocols for public entrance into the building,
      • Problem-solve when a staff member or community member seeks assistance with a school related issue
    • Assists with state reporting processes
    • Process professional development clock hours                            
    • Scan and archive termination files, job posting files and other various documentation
    • Track and enter Skyward data
    • Maintain exemplary level of customer service in interactions with the OSD community and others.

     

    Other Job Functions:

    • Maintain various records
    • Prepare documents, correspondence, agendas, minutes, bulletins, reports, etc.
    • Assist co-workers as required in the completion of their work duties
    • Organize and prioritize work
    • Establish and maintain positive and effective working relationships with OSD employees, visitors, Board and community members
    • Other duties as assigned or requested by department.

    Qualifications:

    • Two years Human Resources or related experience
    • High school diploma or equivalent
    • Must be able to communicate clearly orally and in writing in English
    • Must be able to operate standard office equipment and computer systems
    • Must be able to follow directions as well as work independently
    • Must be able to manage multiple competing priorities and maintain exemplary customer service skills
    • Must be able to maintain confidentiality of employee and bargaining information
