Position Summary:

The position of Accounts Payable Support involves providing financial, administrative and clerical support to the Taholah SD#77. This role completes payments and controls expenses by receiving payments, plus processing, verifying and reconciling invoices.

Qualification Requirements:

• 3 years Experience with Accounts Payable and purchase ordering

Essential Functions and Responsibilities:

• Collect and monitor time/effort timesheets
• Assist HR with overseeing and implement vacation/sick leave of the entire staff
• Make sure all visitors and volunteers have background checks and that all safety process are in place to monitor entry in and out of the building
• Oversee all purchases and deliveries
• Schedule all professional development (staff) travel and workshop reservations etc.
• Process requisitions including supporting documents for a complete packet
• Issue Purchase orders
• Keeping track of all payments and expenditures, including purchase orders, invoices, statements, etc.
• Reconciling processed work by verifying entries with purchase orders
• Maintaining accounts payable historical records
• Assisting Business Manager with the process of reconciling payments with vendors by ensuring payment is received including general responses to all vendor inquiries regarding finance
• Continuing to improve the accounts payable process
• Arrange travel for staff/students this includes, itinerary, hotel, parking, meals, and flights, if applicable
• Attend training, webinars in regards to accounts payable
• Auditing files to ensure that files are complete
• Maintain and safekeeping of all bidding projects
• Maintain all ASS expenditures and minutes
• Assist HR/Executive Secretary with organizing board documents and meeting minutes this includes uploading electronic documents onto the website
• Maintaining and archiving retention on accounts payable
