    Job Purpose and Position Overview:

    The Accounts Payable Specialist will provide financial, administrative, and clerical services as part of the Accounting Team. Duties include ensuring accuracy and efficiency of Accounts Payable operations including processing accurate vendor invoices that are paid timely, reviewing payables for past-due payments, collecting vendor credits, processing vendor payments (manual and electronic), reporting to management on accounts payable operations, maintaining appropriate documentation in accordance with regulatory guidelines, as well as other duties as assigned by management. This position reports to the Accounting Manager.

    Specific Job Duties/Responsibilities:

    Perform day to day transactions, including verifying, coding, posting, and recording accounts payable invoices/vendor bills, vendor credit memos, A/P payments (manual and electronic), etc.
    Reconcile bank statements to general ledger.
    Maintain accurate spreadsheets, updating information as needed.
    Communicate with vendors to request W-9s, payment terms (e.g., Net 30), required payment method, and banking information, etc.
    Update vendor account information within Accounting Software including contact information, payment method, payment terms, shipping/billing address, banking information, etc.
    Accurately and fully compile and store A/P documentation, including invoice copies, proof of internal approval, shipping/receiving documentation, etc.
    Assist with compilation of data for year-end 1099 filings.
    Answer and direct phone calls to the appropriate party
    Demonstrate the Heinen Brothers core mission, vision, and values.
    React to change effectively and handle other essential tasks as assigned.
    Maintain and promote a safe work environment.
    Assist other divisions and locations, as needed.
    Attend company and departmental meetings, as necessary.
    Comply with all company, local, state, and federal regulations.
    Perform other related duties as assigned by direct supervisor.

    Required Qualifications/Skills:
    High School Diploma/Degree
    Proficiency in Microsoft Office (Excel and Word, in particular)
    Attention to detail and problem-solving skills

    Additional Preferences:
    2 or 4 year college degree in business or related field
    Prior Accounts Payable experience
    Knowledge of the agricultural accounting software, Agvance

    Physical Requirements:
    Normal Office Light work (lift 10 lbs.) Medium work (lift 11-30 lbs.)
    Heavy work (lift 30-50 lbs.) Very heavy work (lift over 50 lbs.)
