Responsibilities:

• Collaborate directly with upper management to oversee administrative and operational tasks, ensuring efficiency and effectiveness.
• Maintain and manage internal databases, keeping candidate profiles, client information, and job postings up-to-date.
• Assist with scheduling interviews, meetings, and appointments for recruiters and candidates, providing exceptional service and support.
• Serve as the primary point of contact for candidate inquiries, delivering timely and professional responses via email, phone, and in-person interactions.
• Support the recruitment process by preparing materials, sourcing candidates, and facilitating seamless onboarding experiences for new hires.
• Handle invoicing and financial transactions, utilizing QuickBooks for accounting tasks and ensuring accuracy in financial records.
• Harness the power of AI tools and software to streamline recruitment processes and enhance operational efficiency.
• Contribute to the development and delivery of training programs for internal team members, fostering growth and development within the organization.

Qualifications:

• Previous experience in operations coordination or administrative support within a recruiting agency or related industry.
• Strong organizational skills and attention to detail, with the ability to manage multiple tasks and priorities effectively.
• Excellent communication and interpersonal skills, enabling professional interactions with candidates, clients, and colleagues.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with database management systems.
• Experience with QuickBooks or other accounting software is preferred.
• Proactive mindset with a willingness to learn and adapt in a fast-paced environment.

Pay: $50,000.00 - $70,000.00 per year
