    POSITION SUMMARY  

    The Operations Coordinator supports the Director of Operations in the management, implementation and execution of operational functions of the Open Doors Academy mission. 



    ESSENTIAL FUNCTIONS

    Essential Functions Statement(s): 

     

    1. 1. Operations Supportfor Academic Year and Summer Programs 

      • Transportation Logistics (25%)

        • Process staff requests for transportation services, including booking buses rented vehicles, and ODA-leased vans

        • Provide scheduling and payment support in the planning of campus events and field trips across school locations served by ODA 

        • Training staff on how to operate leased vans 

        • Communication with partner organizations and service providers about scheduling and logistics 

        • Maintain leased vans with regular required repairs to ensure smooth operation 

      • Student and Staff Technology (15%) 
        • Maintain accurate inventory of student and staff technology, including laptops, tablets, hotspots, phones, etc.  
        • Distribute and collect technology as program needs require 
        • Updating, purchasing and implementing physical technology, digital tools, subscription services, and other resources 
      • Storage and Inventory (15%) 
        • Maintain technology closet and storage space located in office building at headquarters 
        • Ensure items are organized and labelled to ensure staff can find materials 
      • Supplies Procurement (15%) 
        • Maintain supplies ordering system, including placing, receiving, and distributing program and office supplies 
      • Enrollment (10%) 
        • Support families and staff in completing enrollment packets through the online enrollment portal 
        • Address and update any data discrepancies in partnership with Data Manager 
      • Office Management (10%) 
        • Replenish office supplies 
        • Maintain printer services 
      • Event Logistics (10%) 
        • Support family wraparound program with event planning and logistics, including larger organization-wide initiatives such as the International Festival, the Pitch Challenge, etc. 
      • Other duties as assigned, including, but not limited to:   
        • Set up, break down, organize, and maintain program and meeting spaces   
        • Documentation and record-keeping, including data entry, CRM or database updates, digital archiving and other duties as assigned 
        • Other special projects as assigned

    SKILLS & ABILITIES 

     

    Education:   

      • High school diploma required.  
      • Bachelor’s degree preferred. 

    Experience:  

      • Minimum of one (1) year of operations experience or non-profit program experience. 

    Technical Skills:   

      • Proficient in Microsoft Office Suite, particularly Microsoft Excel. 
      • Experience in database or CRM management preferred. 
      • Experience in information technology preferred. 

    Other Requirements:   

      • Valid driver’s license and willingness to operate passenger van. 
      • Willingness to speak in front of a group to train on specific program needs.
