Special Projects Coordinator

  • Job Summary:

    The Special Projects Coordinator will provide administrative support to select special projects at Reunion Tower and Reunion Tower Lawn. This position reports directly to the Director of Sales and PR and will work closely with other Reunion Tower functional managers in Operations, and Marketing.

    Responsibilities and Duties:

    • Provide comprehensive administrative, clerical, and logistical support for special projects, including but not limited to New Year’s Eve fireworks, Reunion Tower Lawn Parties, contracted Lawn Projects, and other scheduled or promotional projects.
    • Manage project-related correspondence, appointments, and key milestone identification, ensuring effective timeline management.
    • Develop, maintain, and present executive reports and presentations with a high level of accuracy at requested intervals.
    • Assist in research projects, including identifying project partners, industry trends, and other assigned subjects.
    • Respond to inquiries regarding project details, such as dates, project schedules, and pricing, coordinating with special project vendors as necessary.
    • Assist in managing projects, including project preparation, load-in and load-out of project spaces, and assisting with set-up and breakdown of project materials.
    • Collaborate with the Operations and Marketing Department and Director of Sales and PR to promote and publicize projects effectively.
    • Aid in the selection and dissemination of marketing and promotional materials to enhance project visibility.
    • Collect and analyze feedback to continuously improve Reunion Tower special project services and project quality.
    • Coordinate with Reunion Tower Operations Center (RTOC) and Hunt Consolidated accounting departments for project deposits, payments, refunds, etc.
    • Manage and execute projects as directed by Reunion Tower Management.
    • Act as a positive brand ambassador for RTOC at all times.
    • Perform any other responsibilities as defined by management.


    Qualification Standards:

    • Position is 100% In Office
    • Flexible schedule to accommodate projects, promotions, deadlines, and other demands of the business, days, evenings, and weekends.
    • Bachelor’s Degree required.
    • Flexible work schedule required.
    • Advanced skills in Microsoft Office Suite.
    • Ability to handle highly confidential information with discretion.
    • Excellent verbal and written communication skills.
    • Strong organizational, analytical, and interpersonal skills.
    • Ability to effectively communicate with all levels of employees, executives and vendors.
    • Ability to meet deadlines consistently and accurately.
    • Ability to understand and communicate aspects of the Reunion Tower brand and special project goals.
    • Friendly, upbeat personality.


    Experience:

    • 2–3 years’ experience in a professional environment, preferably in a hospitality field.
    • Project Management experience or training is highly recommended.
    • Administrative assistant experience.

Maintain accurate and up-to-date SOP handbook for your position.

    Physical Demands:

    • Stooping: Bending body downward and forward by bending spine at the waist. This factor is important if it occurs to a considerable degree and requires full use of the lower extremities and back muscles.
