    Primary purpose:

    Coordinator (or Senior Coordinator) - Operations Administration applies clerical, administrative, financial accounting, and other administrative-related functions in support of CO2 pipeline and facility operations.  The position is compensated on an exempt, salaried basis.

     

    Essential duties and responsibilities:

    • Performs financial accounting, administrative, and clerical functions including, but not limited to:
      1. budget assimilation & analysis
      2. expense reporting, cost variance tracking and analysis
      3. utilization & administration of budget & expense forecasting applications
      4. application of business administrative processes, policies, and procedures
      5. oversight of payroll time reporting processes & procedures
      6. accounts payable data entry processes
      7. procurement, inventory and other related processes and procedures
    • Develops and administers accounting reporting applications & departmental computer-based templates for financial data compilation and reporting, analysis, comparative benchmarking, and controls.  Assimilates budget data from field management team into consolidated work products for analysis and reporting.
    • Routine and special reporting to district, departmental, and business unit commercial accounting groups.   Researches and resolves expense and capital AFE accounting code issues, accounting code interpretations, and vendor/accounts payable invoice issues.
    • Assist with purchasing, receiving verification, handling and shipping of operating, maintenance, and construction materials and supplies. Set up new vendors. Complete, monitor, and track Request for Material (RFM) or Request for Services (RFS) and Purchase Orders (PO).
    • Code and process invoices for payment and track invoices, statements, and expense accounts. Enter invoices into system for payment, maintain files of paid invoices, and provide reports for district AP needs.
    • Leads District administrative personnel in consistent application of corporate administrative policies and procedures for accounts payable, payroll data entry, purchase orders, field procurement contracts, materials inventories, file systems, etc.
    • Oversee credit card expense coding and receipt review for departmental staff.
    • Set up new vendors. Complete, monitor, and track Request for Material (RFM) or Request for Services (RFS) and Purchase Orders (PO).
    • Research Accounting coding issues and preparing correction requests.
    • Maintain O&M system, including entering and closing out PHMSA and environmental compliance tasks, and distributing inspection lists, as requested. Maintain basic understanding of compliance codes. Assist with preparation for compliance audits. 
    • Special assignments and/or projects as required.
    • Conducts random audits of field location business processes to assure administrative compliance with established policies and procedures.
    • Coordinates resource requirements for managerial meetings.
    • May process Tallgrass Employee Worker Compensation claims in coordination with corporate Human Resources
    • Deal with a wide variety of people with tact, courtesy, and professionalism.
    • Speak clearly, both in person and by telephone, using a high level of verbal skills and listen carefully.
    • Maintain a regular, dependable attendance and a consistently high level of performance.
    • Will work non-traditional hours as needed.
    • Maintain a high regard for personal safety, for the safety of company assets and employees, and the public.
    • Other daily, weekly, monthly, or special project duties as identified and defined.

    Minimum requirements:

    Education:

    • Associates degree from an accredited institution in Business/Accounting or a related discipline.  
    • Equivalent work experience may be considered as a substitute for a degree.

     Experience/Specific Knowledge:

    • Minimum of 5 to 7 years work history and/or education using basic accounting principles and computer applications or similar background.
    • Advanced proficiency level in MS Office applications that may include but are not limited to Excel, Word, Access, PowerPoint and Outlook.

     Certifications, Licenses & Registrations:

    • Must possess and maintain a valid driver’s license and a driving record satisfactory to the company and its insurers (for company travel).

     Competencies, Skills & Abilities:

    • Strong expertise in utilization of Microsoft Office products with emphasis on Excel spreadsheet, Word & Outlook applications.   Knowledge and experience with database applications (preferred experience with Oracle, GP Dynamics, Essbase, etc.)
    • Strong understanding of generally accepted accounting principles and business concepts.
    • Advanced math skills.
    • Strong organizational skills (i.e., filing & retrieval of data).
    • Ability to apply logical thought processes, problem solve, and troubleshoot.
    • Excellent verbal and written communication skills.
    • Ability to effectively work with management team, District Administrators, personnel at all levels of the organization, and customers.

     

    • Subject matter expert resource and back-up for Operations Administrators in financial reporting, payroll reporting, service contracts, inventory, on-line data base reporting systems audits, fleet monitoring, accounts payable processes, etc.
    • Strong problem solving and analytical skills.
    • Must be able to perform repetitive tasks with a high level of attention to detail and accuracy.
    • Must be able to successfully track and complete multiple tasks with strict and sometimes simultaneous deadlines.
    • Must be able to properly set priorities, reprioritize as new demands arise, and maintain confidentiality.
    • Must be able to identify and adhere to expectations in an employee/employer relationship.
    • Ability to successfully perform the required and expected duties with minimal direct supervision.

    Working Conditions:

    • Job is based in the Leawood, Kansas (preferred) office or other Tallgrass field office.
    • Required to carry a cell phone and be available to respond during working and non-working hours. The successful candidate will be required to clear a drug screen and a complete background check, including credit report for certain positions, after an offer has been extended and prior to being employed.
    • Occasional single and/or multiple consecutive days out of town, overnight travel will be required.

    Above the minimum requirements, not required but advantageous in this position:

    • Bachelor’s degree from an accredited institution in Business/Accounting or a related discipline is preferred. 
    • Knowledge of FERC accounting rules and GAAP
    • General understanding of LAN systems.
    • Accounting related certifications
